We are seeking a dedicated and professional Office Assistant/Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude to support daily office operations. This role offers an opportunity to contribute to a well-organized, welcoming environment while gaining valuable experience in office management, customer service, and administrative functions. All positions are paid, including internships, and are integral to maintaining smooth business operations.

Duties



Greet visitors and clients warmly, providing exceptional front desk customer service and ensuring a professional first impression. Manage multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary. Maintain organized filing systems, including electronic data entry and physical document management to ensure easy retrieval of information. Support office management tasks such as calendar scheduling, appointment setting, and coordinating meetings with attention to detail. Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial record-keeping. Handle correspondence through email and Google Workspace applications, proofreading documents for accuracy and clarity. Perform clerical duties including photocopying, faxing, data entry, and maintaining office supplies inventory to ensure operational efficiency. Provide general administrative support by managing incoming inquiries, supporting customer support efforts, and ensuring excellent phone etiquette.

Requirements



Proven experience in an office environment with strong clerical and administrative skills. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools. Familiarity with QuickBooks or other bookkeeping software is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Strong communication skills in both verbal and written forms; bilingual abilities are a plus for diverse environments. Previous experience at the front desk or as a medical or dental receptionist is advantageous. Demonstrated ability to handle multi-line phone systems with professionalism and courtesy. Knowledge of office management practices including filing systems, calendar management, and time management techniques. Personal assistant or medical receptionist experience is beneficial but not mandatory; a proactive approach to supporting team needs is essential.
