Position Overview



We are seeking a highly skilled Office Administrator to manage day-to-day administrative and office operations. The ideal candidate will have a minimum of 5 years' experience in office administration and be highly proficient in Microsoft Excel. This role will support the leadership team with reporting, scheduling, and documentation, while ensuring smooth coordination between departments.

Key Responsibilities



Administrative Support



- Manage daily office functions including correspondence, filing, scheduling, and record keeping.
- Prepare and distribute reports, presentations, and company communications.
- Support HR and payroll processes (timekeeping, employee files, onboarding documentation).
- Maintain accurate and organized company records.

Excel & Reporting



- Build, manage, and update Excel spreadsheets for production, sales, and financial tracking.
- Create formulas, pivot tables, charts, and dashboards to analyze and present data.
- Assist leadership with data-driven insights for operational decision-making.
- Maintain accuracy and consistency of data across systems.

Office & Team Coordination



- Serve as a point of contact for vendors, customers, and visitors.
- Coordinate office supply management, purchasing, and expense tracking.
- Support leadership and management with scheduling meetings and preparing documentation.
- Ensure compliance with company policies and assist with audits or reporting as needed.

Qualifications



- Minimum 5 years of office administration experience in a professional environment.
- Expert-level proficiency in Microsoft Excel (formulas, pivot tables, VLOOKUP, charts, dashboards).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint); ERP/CRM experience a plus.
- Strong problem-solving skills and ability to manage multiple priorities.
