Responsible for managing the administrative and financial operations of the distributorship, including accounts payable/receivable, payroll processing, vendor relations, and data management to ensure accurate and efficient support for distribution activities.
Major Job Responsibilities and Accountabilities
Financial Management
Manage distributorship accounts payable and receivable processes.
Process receipts, deposits, and verifications accurately.
Manage distributorship payroll processing.
Collect past-due accounts while maintaining positive customer relationships.
Data and Systems Management
Upload and download handheld data weekly.
Process handheld data promptly to ensure Route Managers have current information when leaving the warehouse.
Back up computers daily and keep the General Manager's system current.
Maintain computer, network, and phone systems; coordinate with IT support as needed.
Administrative Support
Maintain dealer files and process new/closed dealers weekly.
Prepare and send monthly reports, including end-of-month packets to corporate by the 5th of each month.
Type correspondence and administrative documents for the General Manager.
Run BARs early in the week (preferably Monday).
Execute end-of-month closing accurately and on time.
Inventory and Sales Support
Enter stock orders as they arrive and reconcile inventory counts.
Enter rotates, reclassifications, counter sales, and balance warehouse envelopes.
Check truck counts for BAR's and verify inventory accuracy.
Customer and Team Support
Assist Route Managers with accounts receivable questions.
Provide courteous and professional telephone and front counter service as needed.
Support front counter sales when required.
Qualifications
Experience:
Minimum of 2 years of experience in accounts payable, accounts receivable, or bookkeeping.
Prior experience managing administrative functions in a warehouse or distribution setting preferred.
Skills:
Proficient in Microsoft Word and Excel.
Strong customer service and telephone communication skills.
Accurate data entry and ten-key touch pad ability.
Detail-oriented with excellent organizational skills.
Competencies:

Ability to work independently and handle multiple priorities.

Pay: $55,000.00 - $60,000.00 per year
