Summary and Objective
The Dispatch Leads are responsible for overseeing the work of both the Dispatch Day of Team and the Dispatch Planning Team. They verify that all work being done falls within company and FAA guidelines. They are the go-to for the Day of Team and The Planning Team for any potential issues that need to be escalated. They will work hand in hand with the fleet managers and sales team when making changes to the schedule to verify legality and making sure it is operationally feasible to accomplish. They are responsible for releasing trips on the schedule after verifying that the trip is confirmed, any issues have been communicated to the proper teams, and the trip is legal.

Ensure all crewmembers are accurately briefed or re-briefed of any and all duty assigned by flyExclusive scheduling department in accordance with the Fly Exclusive Operations Manual, Company Operations Specifications, Company Policies and Procedures, Federal Aviation Regulations, and department guidelines.
Support crew members with airline travel and rental car arrangements, accurately recording movements in the scheduling system. Ensure timely updates to the tactical operations board and promptly notify affected departments of any changes.
Manage flight logs, verifying accuracy and ensuring all discrepancies are corrected by Dispatchers as needed.
Responsible for the accurate and timely flight following for the flyExclusive fleet and any supplier providing lift and the efficient dissemination of such information to client services, scheduling, and all other interested parties.
Responsible for obtaining, monitoring, tracking, and disseminating any operational restriction to daily operations including, but not limited to: Notams, AROs, noise restrictions, FBO hours of operation, and airport capabilities.
Responsible for proactively monitoring weather and air traffic control status and any other possible schedule interruption to client services, scheduling, and all other interested parties as necessary.
Assign and oversee tasks delegated by Duty Managers and Schedulers, ensuring efficiency and proper task completion.
Plan and coordinate all upcoming international flights with the Ops Planning team ensuring detailed preparation for smooth operations.
Ensure the tactical operations board is updated and notify impacted departments.
Verify that aircraft weight and balance comply with operational standards.
Assist crew members with necessary flight adjustments in the event of disruptions.
Collaborate with the Manager to develop and implement a comprehensive core training curriculum for onboarding and ongoing learning within the Dispatch department at flyExclusive.
Create a core training manual and standard operating procedures to guide staff development.
Gain proficiency in new software systems and lead departmental implementation, serving as the subject matter expert.
Work closely with Duty Managers to establish best practices for a comprehensive training program covering the following topics:

Safety Review (weather at departure and arrival airports, weather along flight route, weather at alternate airport if needed, mechanical performance of the plane).
Crew Review (verify that each crew member has the proper qualifications, ensuring they are getting the proper amount of rest and being treated fairly, keeping CRM (Crew Resource Management) in mind).
Maintenance Review (Verify aircraft inspections are up to date. Verify that aircraft hours, landings, and MELs are within the operational parameters for scheduled flights.)
Maximizing Efficiency (ensuring that quick turns are arranged when needed, fuel stops are at the best location with the best price, getting ahead of possible alternate airports that could be needed, handling all international trip planning including the customs and handling at each location).
Cross Department Communication (working with their Dispatch Day of and Dispatch Planner counter parts in communicating with maintenance control for scheduled maintenance events, communicating with the client services teams on planned or potential delays, communicating with the crew travel team for crew swap events and potential issues).
Customs Review (Conduct customs reviews by verifying all CBP communications, ensuring crew and passenger information is accurately listed and filed, and managing handling procedures for each international trip.)
Trip Release (verifying the legality, payment, and client confirmation of each trip prior to releasing. This includes verifying the accuracy of each trip matches all details provided to dispatch regarding service notes, passenger information, crew information, regulation status of each leg, fuel notes, and customs/handling information).
Continue to execute the responsibilities of a Flight Coordinator and Dispatcher.
