We are seeking a highly organized, detail-driven Multi-Entity Bookkeeper & Office Administrator to manage financial operations across a diversified portfolio including
construction
,
design
,
retail, food & beverage, and real estate investment operations
. This role requires strong QuickBooks Online and spreadsheet skills, clear understanding of entity separation, and the ability to juggle job costing, project billing, payroll, and daily sales.
Core Responsibilities (All Entities)
Maintain accurate books for multiple legal entities
Properly categorize and record transactions
Reconcile multiple bank accounts and credit cards monthly
Maintain clean general ledgers with strong documentation
Prepare monthly financial statements by entity
Manage intercompany transactions and shared expense allocations
Track owner contributions, draws, and distributions
Work closely with CPA to prepare books for review and tax filings
Maintain strong internal controls and financial consistency
Construction & Design-Specific Responsibilities
Track job costing by project
Allocate labor, materials, subcontractors, and overhead accurately
Manage retainage, progress billings, and change orders
Reconcile construction draws and loan-funded projects
Track WIP (Work in Progress) and assist with job profitability reporting
Coordinate with project managers on cost tracking and budget alignment
Retail and Food & Beverage-Specific Responsibilities
Record and reconcile daily sales from POS reports
COGS Reporting
Monitor food, beverage, and retail margins
Tip reporting
Payroll & Compliance (All Entities)
Process payroll for hourly and salaried employees across entities
Manage payroll tax filings and reports
Track labor costs by project (Construction)
Sales and use tax filings
Insurance, Permits, Entity filings, and contractor compliance
Qualifications
Proven experience as a
bookkeeper
Strong proficiency in
QuickBooks Online, Excel/Google Sheets/Numbers
Solid understanding of
job costing, project accounting, and COGS
High attention to
detail and accuracy
Strong organizational and time-management skills
Ability to handle confidential financial information
Preferred Experience
Construction, design/architecture, or hospitality environments
Multi-location or multi-company operations
Payroll systems and POS integrations

Pay: $17.00 - $22.00 per hour
