This position is dynamic and guest/member centric. Member Services is the main point of contact for most member requests, and the primary role of the Supervisor will be to support the Member Services Director in leading the operations with a variety of tasks related to guests/member needs, such as arrival, concierge, property management, lodging, special requests, shuttling, shopping, etc.
Essential Functions
Supervise and support Member Services coordinators in their daily responsibilities and tasks.
Prepare and distribute weekly schedule for Member Services staff.
Ensure accurate and timely completion of Member Services payroll.
Maintain inventory of operational supplies and purchase as necessary.
Ensure the daily Member Services checklist is completed to expectations.
Maintain clear communication and support amongst auxiliary operations including Recreation, Housekeeping, Maintenance, Real Estate, Food & Beverage, Wellness, Golf and Construction.
Act as the department lead for glitch recovery and guest satisfaction in the absence of the Member Services Manager.
Answer requests from both guests and management.
Delegate and fulfill property management requests that will include but are not limited to Maintenance, Housekeeping and Outside Maintenance.
Delegate and fulfill member services requests that will include but are not limited to shuttles and other transportation, grocery shopping and personal errands.
Communicate with homeowners regarding any arrival, mid-stay & departure needs/requests.
Make concierge bookings for activities on and off property.
Manage concierge bookings, invoices, tracking and ensure commissions are billed.
Log and deliver packages to member homes.
Operate and update the POS system for the billing of activities and services.
Facilitate pre-arrival communications with prospects and guests.
Create professional and detailed guest itineraries.
Greet guests and/or escort them to their homes.
Complete arrival/departure walkthroughs and ensure homes are prepared to Tributary standard.
Schedule and deliver vehicles for cleaning and detailing.
Be able to speak confidently and answer questions about the property, the area and activities offered in Teton Valley.

This position is responsible for supervising the daily activities of the Member Services coordinators.
Work Environment
This position operates in both an office and outdoor setting. It will include sitting at a desk and using the phone, as well as walking or driving to locations both in and outside of the Club property. The employee may be exposed to hazards including, but are not limited to, slipping, tripping, and falls.

Position Type/Expected Hours of Work
This may be a full-time, hourly, or seasonal position as stated or reflected in the offer letter. Days and hours of work are typically 5 days a week with 8-hour shifts. Business hours will fluctuate between peak and offseason times. Some overtime may be requested. Schedule is subject to change, and applicants must be flexible with schedule adjustments.
Travel
Some light driving travel is expected for this position. Distance will not likely exceed 100 miles.
Required Education and Experience
Prior experience in a customer centric, customer facing position required.
Prior experience with leading and/or managing a team.
Preferred Education and Experience
Administrative or hotel related experience is preferred.
Experience with taking and executing service requests.
Comfort with communicating over phone, email and text.
A high school diploma or equivalent.
Additional Eligibility Qualifications
Must have a valid driver's license.
Must be able to speak fluently in English.
Work Authorization
Must have valid work authorization to work in the United States for I-9 form purposes.
