The Role: Med Spa Operations Manager (Front Desk)

Facial Mania Med Spa in Irving is seeking a

proactive, experienced, and customer service-oriented Front Desk Manager

who will act as the first impression and operational heart of our facility. The ideal candidate is a

strong, motivated, and enthusiastic leader

with proven

sales acumen

, deep proficiency in modern

CRMs

, and mastery of

Practice Management Systems

. You will be responsible for streamlining clinic flow, maximizing bookings, and ensuring every client interaction is flawlessly executed.

What You Will Be Doing (Core Responsibilities):

This role is centered on driving client satisfaction, optimizing clinic flow, and supporting revenue goals. Responsibilities include (but are not limited to):

1. Sales, Revenue, and CRM Management:

Drive Service and Membership Sales:

Proactively explain and promote our signature services (Botox, fillers, Hydro Oxygen Facials, etc.) and membership packages, focusing on conversion and retention.

Master Practice Management:

Expertly manage and leverage

CRMs and Practice Management systems

for accurate client data, targeted follow-up, and performance tracking.

Payment Processing:

Accurately collect payments, manage deposits, and reconcile daily transactions.
2. Client Experience and Communication Excellence:

First Impression Leader:

Warmly greet all clients and visitors, ensuring an exceptional, high-end, and professional first impression.

Client Registration & Data Integrity:

Efficiently register new clients, verify and update existing data, and meticulously document all necessary information.

Multichannel Communication:

Expertly manage all

inbound and outbound phone calls

, emails, text messages, and messages received via social media platforms, ensuring prompt and professional responses.

Appointment Management:

Strategically monitor and schedule all client and provider appointments to maximize clinic utilization and flow.
3. Operational Leadership & Facility Standards:

Facility Management:

Maintain the lobby and all front-of-house areas in an

impeccably clean, neat, and orderly manner

at all times, upholding the luxury aesthetic brand standard.

Administrative Support:

Execute all general office work and administrative tasks promptly, demonstrating strong

attention to detail and ability to follow up and follow through

Team Collaboration:

Function as a key

, supporting the clinical staff and management to ensure cohesive operations in a

fast-paced, high-volume environment.


Minimum Qualifications (Required Skills & Experience):

Minimum of [Number] year(s) of prior experience as a

Front Desk Receptionist or Manager

Med Spa, Dermatology Office, or Luxury Service

Bilingual (Spanish)
