OCCUPATIONAL SUMMARY: The Marketing Administrative Assistant will provide high-level administrative support to the office of the Director of Marketing. The Marketing Administrative Assistant performs administrative and related clerical duties for the overall management of the Integrated Marketing departments including Marketing, Publications, Retail, Convention and Tours, eChurch and Partnership. Acts in a confidential capacity to the Director and provides secretarial support in various capacities, i.e. Administrative Meetings, and other inter-office memorandums to staff. Supervisory Duties: None PRIMARY DUTIES AND RESPONSIBILITIES:

  • Schedule appointments and maintains the Director\xe2\x80\x99s appointment calendar. Opens, sorts, and distributes mail. Prepares all outgoing correspondence for Director.
  • Maintains meeting minute books of all Managerial and Administrative meetings.
  • Maintains all corporate files and keeps timelines for all departmental reports, presentations and executive meetings
  • Aides in any function pertaining to the office administration for the Director including but not limited to accounting requests, travel itineraries and Human Resources requests and follow up.
  • Prepares correspondence and reports, with some direction, for Director\xe2\x80\x99s signature.
  • Prepares and compiles daily, weekly and monthly reports for all departments and submits to Executive Leadership.
  • Arranges for meetings, teleconferences and videoconferences for the Director.
  • May receive and screen office visitors and telephone calls for Director.
  • Provides follow up and direction to departmental managers in alignment with Director\xe2\x80\x99s timelines and deadlines given.
PRIMARY DUTIES AND RESPONSIBILITIES CONTINUED:
  • May receive, resolve or refer complaints of church members to Director including but not limited to Customer Service escalations, event registration escalations and internal departmental escalations.
  • Schedules persons with approved travel authorization on commercial flights
  • Coordinate travel to economize when possible.
  • Obtains executive approval on initial flight requests.
  • Makes hotel and car rental reservations with the most economical costs.
  • Maintain the Director\xe2\x80\x99s Project Timelines.
  • Maintain comprehensive and accurate accounting records for Director including but not limited to convention & event profit and loss statements.
  • Maintain comprehensive and accurate records of all ministry documentation for branding collateral.
  • Assist and coordinate the review of all legal documents for submission to the executive department
  • Facilitate conference calls or meetings with internal and external departments as needed
  • Receives incoming calls, retrieves and maintains records of voice mail messages and correspondence
  • Makes outgoing and return calls, as directed.
  • Assist with job interviews for various managers, as requested and approved.
  • Provide training for new hires and staff members in various departments, as requested and approved.
  • Assists in special assignments as directed.
  • Performs other duties as assigned.
  • Represent Director by attending and facilitating meetings in the Director\xe2\x80\x99s absence

EDUCATION:
  • High school diploma or equivalent, college degree preferred

EXPERIENCE:
  • At least two (2) years of administrative assistant experience
  • Marketing Experience a plus

SKILLS/ABILITIES:
  • Good knowledge of general office practice and business English
  • Ability to deal effectively with the public
  • Ability to type minimum 50 wpm
  • Ability to communicate clearly and effectively
  • Ability to create and present presentations
  • Strong oral and writing skills
  • Proficient with Monday.com or other SaaS for project management

  • Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Canva
