Job description We are a small, friendly law firm in Huntington Beach that specializes in Intellectual Property. This position is primarily going to involve administrative office duties, so accounting background is a must and familiarity with law practice management software is preferred. We do a lot of patent work, so we\'d ideally like someone with IP experience, but we are willing to train if you have a legal background and can learn quickly. The duties for this job include: \xc2\xb7 Day-to-day management of office, including interfacing with leasing office, vendors, and IT; - Answering phones, take messages, direct incoming calls to appropriate attorneys or staff; \xc2\xb7 Downloading daily PAIR correspondence from USPTO.gov and give to Legal Assistant to log & distribute; \xc2\xb7 Downloading daily client documentation from outside server, reviewing emails from all attorneys and clients, conduct or assist in running conflict checks, assist in assigning new files to attorneys, send assignments to Legal Assistant, assist in monitoring to make sure consult gets scheduled and that attorney sends post-consult email; \xc2\xb7 Monitor outside server and monthly \xe2\x80\x9cInvisible basket report\xe2\x80\x9d; send follow-ups to clients and/or attorneys, request certified letters from Legal Assistant as needed; \xc2\xb7 Send all Cancel emails to appropriate parties and direct cc refund if any; \xc2\xb7 Entering and double checking billing entries on various matters in AbacusAccounting system; - Collecting mail and distributing within office and to remote located attorneys and staff; - Process credit card refunds using Authorize.net; \xc2\xb7 Enter all invoices into Payables in AbacusAccounting; \xc2\xb7 Enter all trust check requests for transfer files in AbacusAccounting; \xc2\xb7 Enter journal entries for insurance, postage, etc. in AbacusAccounting; - Handle basic accounting, including reconciliation of bank accounts; \xc2\xb7 Respond to client phone calls (complaints, explain process, etc.) and emails as needed; \xc2\xb7 Cover responsibilities of employees out sick or on vacation. Required Education/Experience: -Prior law firm experience preferred but not required. - Prior accounting experience -AA/BA and/or Paralegal Certificate preferred but not required; -Ability to accurately type 35+ words per minute; -Literacy in Microsoft Windows 10, MS Office 2003 or higher (Word, Excel, Outlook), Adobe Acrobat, Practice Management and Accounting software - Prior experience with Abacus Law/Abacus Accounting preferred but not required.
