About the Position:

The successful candidate will provide support, including administrative and clerical support, to staff attorneys in the Office of Legal Affairs and the Office of the University Secretary.

This is an on-campus role; however, work hours are flexible and consideration will be given to candidates who prefer revised schedule or reduced hours (ex. 8:30am \xe2\x80\x93 3:00pm.)

Essential Functions:

  • Administrative and clerical support to staff attorneys in the Office of Legal Affairs and the Office of the Secretary: answer phones, handle calendar; draft letters; organize and maintain time matters database files; prepare reports and analyses of time matters information; develop internal procedures for managing recurring events and/or issues and train and assist other staff members in implement
  • Transactional support and other legal assistance: draft corporate resolutions; manage real estate/finance closing, maintain corporate records & patent & litigation files; assist in responding to discovery & agency investigation requests; perform basic legal research & preliminary analysis of issues; secure evidence/documentation; draft memos, letters, contracts & pleadings/responses.
  • General front desk duties; answer phones, process mail, greet visitors.
  • Assist Executive Assistant to the Vice President with office management duties, e.g., accounts payable, ordering supplies for OLA, prepare reports, etc. as necessary.
Qualifications

Education and Experience:

Bachelor\'s degree is preferred, but not required. A minimum of five years administrative support, legal assistant or paralegal work experience in a law office is required.

Notary public licensing in Texas is preferred.

Law office real estate experience is a plus. Experience working in an in-house law office, especially in a university or higher educational setting is desirable.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal, verbal and written communication skills to effectively interact with a wide range of constituencies.

Must possess strong organizational and time management skills with the ability to prioritize and manage multiple tasks and constituents concurrently.

A strong focus on attention to detail is essential.

Candidate must be self-started with the ability to work independently on confidential matters with minimal supervision and collaboratively within a team environment.

Must also possess strong problem-solving skills with the ability to re resourceful, proactive and seek assistance as needed.
