plays a central role in ensuring the smooth operation of the firm's administration, facilities, supplies, office equipment and operational functions. This individual will be responsible for coordinating office procedures, overseeing vendor relationships, managing support staff and ensuring a professional and efficient work environment.
Principal Duties and Responsibilities:
Manage all facilities, maintenance and upkeep of office space (including workrooms, kitchen facilities, library, Server Room and on-site basement storage)
Maintain relationships with all business vendors (AT&T, IT consultants, Fed-Ex, Copy Services, Lexis-Nexis & Westlaw, Document Production/Copy services and other office equipment vendors)
Act as active liaison and point person with building management, onsite engineer and onsite lobby security
Manage key card security and office access for all Firm employees
Oversee maintenance and storage of legal records, files, and client documents in compliance with firm policies (both on-site and off-site)
Oversee and directly manage the Office Services Clerk TBD
Supervise support staff; assistance with hybrid schedules/PTO tracking and ongoing staffing needs.
Coordinate with HR on onboarding/offboarding of employees, office needs, tech supplies and set-up as well as pack-up and departure logistics.
Work closely with Billing Manager to maintain office/facilities budget controls and vendor payments
Ensure proper functioning of office technology and troubleshoot as needed
Coordinate with IT support for hardware, software, and systems needs
Assist in training staff on firm systems and software
Assist Managing Partner with other assigned duties as needed
Assist Firm with planning and coordination of Firm events and employee social engagement
Respond to daily business inquiries from attorneys, staff and outside clients.
Knowledge, Skills and Abilities Required:
5+ years of experience in office services or management, preferably in a legal or professional services environment
Strong leadership, organizational, and problem-solving skills
Excellent written and verbal communication skills
Proficiency with Microsoft Office Suite and familiarity with legal document management software
Ability to always maintain confidentiality and professionalism
Knowledge of facilities management and vendor management
Bachelor's degree preferred; equivalent experience considered
Strong responsiveness and follow-up skills
