Essential Job Functions:



The main purpose of the Judiciary Clerk position is clerical work; main performing case processing work in either judicial or non-judicial court operations which may be in one or more of the following areas: civil, criminal, traffic, juvenile, land records, jury, or trust for Frederick County Circuit Court. Work is performed under moderate supervision.

Essential Duties and Responsibilities:




Greets and assists the public and court related personnel, responding to inquiries regarding the proper completion of various court related forms and information regarding court policies and procedures, performs a variety of clerical work.


Provides information about the status of cases or office procedures to the public and/or court related personnel by telephone, in person or by other forms of communication (email, fax and regular mail


Prepares computerized case files and includes that all necessary documents are complete and accurate in accordance with established court procedures.


Reviews Complaints submitted for required information. Creates new case and issues required notices and summons. Processes and maintains case files by reviewing pleadings, updating docket information, and scanning filing submitted by self-represented litigants


Enters new cases and updates existing case information into the court?s data systems.


Reviews, processes, and issues appropriate notices for legal documents such as Court Orders, Complaints, Motions bench warrants, bond forfeitures, subpoenas, summonses, appeals, continuances, commitment papers and court dockets


Receives, opens, sorts, and distributes mail to the appropriate section of the court.

Minimum Qualifications:



Education:




High school diploma (or GED equivalent).

Experience:




One (1) year of work experience, preferably in court operations or in the fields of criminal


justice, parole and probation, legal or financial services.

Note:




A Bachelor?s Degree may substitute the required work experience.


A Paralegal/Associates Degree or 60 college credits may substitute the required work


experience.


A Paralegal Certificate may substitute the required work experience.

Knowledge of:




Legal and technical terminology


Office practices, procedures and equipment


Standard legal forms and documents used in the Judiciary




Skill in:




Operation of recording equipment, computer terminals, and related software.


Typing on a personal computer.


Managing priorities to meet critical deadlines while multitasking.




Ability to:




Demonstrate good customer service skills


Demonstrate good organizational skills


Read and correctly interpret and apply legal procedures, rules, regulations and laws.

Exercise independent judgment


Present excellent verbal and written communication skills with a patient and tactful approach


Repeatedly accept incoming filings and check for accuracy of same


Recognize issues and act accordingly to resolve them or seek assistance from a supervisor


Interact in a respectful manner with aggrieve parties and attorney, public, staff and internal customers




Physical Requirements:



Light work.

Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.

Equipment, Machinery and Tools:




Computer: input and retrieve information; create training manuals; correspond in writing, etc.


Printer, copier, scanner and fax machines: for printing notices, distribution of orders and notices


Time clock: stamp orders and pleadings as being received by the Clerk?s Office


Telephone: contact and provide information for the public and attorneys
