Primary Responsibilities

\xc2\xb7 Monitor job file status

\xc2\xb7 Monitor job file audit status

\xc2\xb7 Maintain job file WIPs

\xc2\xb7 Monitor and ensure client requirements are followed

\xc2\xb7 Review and validate initial field documentation

\xc2\xb7 Create preliminary estimate

\xc2\xb7 Daily job file coordination

\xc2\xb7 Perform job file backup

\xc2\xb7 Maintain internal and external communications

\xc2\xb7 Prepare job file reports

\xc2\xb7 Complete and review job file documentation for final upload and the audit process

\xc2\xb7 Complete job file audit process

\xc2\xb7 Perform job close-out

\xc2\xb7 Assist other departments, as needed

Position Requirements

\xc2\xb7 2+ year(s) of administrative or office-related experience

\xc2\xb7 Experience with writing estimates, job file processes, and quality assurance a plus

\xc2\xb7 Experience in service industry environment a plus

\xc2\xb7 Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times

\xc2\xb7 Polite, confident, and excellent customer service skills, including listening and questioning skills

\xc2\xb7 Ability to remain calm and professional during tense or stressful situations

\xc2\xb7 Excellent organizational skills and strong attention to detail

\xc2\xb7 Very self-motivated and goal-oriented

\xc2\xb7 Ability to multi-task

\xc2\xb7 Capability to work in a fast-paced, team-oriented office environment

\xc2\xb7 Proficiency in Microsoft Office (i.e., Outlook, Word, Excel)

\xc2\xb7 Ability to learn new software, including Xactimate\xc2\xae and proprietary software

\xc2\xb7 Minimum of HSD/GED preferred

\xc2\xb7 Ability to successfully complete a background check subject to applicable law

Hours

\xc2\xb7 40 hours/week, flexible to work overtime when required

\xc2\xb7 Vary between 7 a.m. and 7 p.m.
