Job Description


Job Title: Construction Assistant Company: Hoffman Building Technologies Reports to: Critical Technologies Engineering Manager Job Status: Non-Exempt

Job Purpose:
Support engineering team providing Building Automation System solutions. The responsibilities include but not limited to:

  • Point person for maintenance, mailing, shipping, supplies, equipment, and errands
  • Organize and schedule meetings and events
  • Assist in preparation for meetings, order food, set-up, clean up
  • Partner with HR to maintain office policies as necessary
  • Organize office operations and procedures
  • Coordinate with IT department on office equipment
  • Ensure conference room is stocked with drinks, snacks, coffee, etc...
  • Make travel arrangements for team as needed
  • Answer calls and route to proper person or take messages
  • Create regular reports and update internal databases
  • Facilitate internal communication (e.g. distribute information)
  • Suggest more efficient ways to run the office and troubleshoot any malfunctions
  • Prepare expense reports, miscellaneous reports, memos, invoice letters, and other documents
  • Review expense reports, mileage reports, etc. for accuracy and completeness
  • Combine, review, and prepare for submission BAS documents
  • Gather and file project documents and submissions from customer systems (i.e. Procore, BIM, etc.)
  • Coordinate project orders, quotes, RMAs, for parts and material ensuring proper processing and tracking



Qualifications:
  • Positive influence and willingness to learn.
  • Excellent organizational skills with an ability to think proactively and prioritize work
  • Strong problem solving and analytical thinking skills
  • Strong verbal and written communication skills (via phone, email and in-person)
  • Proficient with office management systems like MS Office
  • Experienced using online calendars and cloud systems
  • Experience using office equipment
  • Experience exercising discretion and confidentiality with sensitive company information
  • Strong time management skills
