We are seeking a detail-oriented and compassionate Intake Specialist to join our healthcare team. The ideal candidate will be responsible for managing patient intake processes, verifying insurance information, and ensuring accurate documentation. This role requires excellent communication skills, proficiency with electronic health record (EHR) systems, and a solid understanding of medical terminology and billing procedures. The Intake Specialist plays a vital role in providing exceptional patient service while supporting clinic operations and maintaining compliance with HIPAA regulations.
Duties
Greet patients professionally and assist with check-in procedures at the front desk
Verify insurance coverage and perform insurance eligibility verification using systems such as Epic, Meditech, Athenahealth, Dentrix, Eaglesoft, and other EMR/EHR platforms
Collect and review patient documentation, including medical histories, care plans, and prior records
Enter patient information accurately into electronic health records (EHR systems) like eClinicalWorks and Meditech
Schedule appointments efficiently using medical scheduling software and multi-line phone systems
Assist patients with completing necessary forms and explain clinic policies clearly
Review medical documentation for accuracy and completeness, including CPT coding, ICD-9/10 coding, and medical billing details
Maintain confidentiality of patient information in accordance with HIPAA guidelines
Support administrative tasks such as filing, data entry (including 10 key typing), and managing medical records
Collaborate with clinical staff to ensure seamless patient flow and care coordination
Provide exceptional customer service through phone etiquette, clerical support, and front desk management
Requirements
Prior experience in medical office administration or clinic intake preferred; dental office or dental clinic experience is a plus
Proficiency with EMR/EHR systems such as Epic, Meditech, eClinicalWorks, Athenahealth, Dentrix, Eaglesoft, or similar platforms
Knowledge of medical terminology, ICD coding (ICD-9/10), CPT coding, Medicare procedures, and health information management standards
Strong computer skills including Microsoft Office Suite (Word, Excel) and familiarity with office management software
Excellent communication skills with the ability to handle multi-line phone systems and maintain professional phone etiquette
Bilingual abilities are highly desirable to serve diverse patient populations
Experience with insurance verification processes and documentation review is preferred
Ability to handle sensitive information in compliance with HIPAA regulations
Strong organizational skills with attention to detail in documentation review and data entry tasks
Previous experience in a healthcare setting such as a clinic or hospital environment is advantageous
