Job Summary:
An HVAC Dispatcher coordinates service schedules, assigns technicians, and ensures timely and efficient delivery of HVAC services. This role requires strong organizational skills, effective communication, and the ability to manage multiple priorities in a fast-paced environment.
Job Duties:
Scheduling and Dispatching:
Schedule and assign HVAC technicians to service calls based on priority, location, and technician expertise.
Monitor service schedules to ensure timely responses to customer requests.
Adjust schedules as needed to accommodate emergencies or changes in availability.
Customer Communication:
Serve as the first point of contact for customers requesting HVAC services.
Gather detailed information about customer needs to ensure appropriate technician assignment.
Provide customers with updates regarding service times and resolutions.
Technician Support:
Communicate job details, special requirements, and instructions to technicians.
Ensure technicians have the necessary tools, parts, and information to complete their jobs.
Track technician progress and resolve any issues that arise during service calls.
Review Technicians' daily time - applying appropriate work/pay details.
Administrative Duties:
Maintain accurate records of service calls, work orders, and customer interactions.
Input and update information in the scheduling and dispatch software.
Generate reports on service performance and technician productivity.
Problem-Solving:
Address and resolve scheduling conflicts or customer complaints in a professional and timely manner.
Collaborate with team members to improve dispatching processes and customer satisfaction.
Other duties as requested.
Job Qualifications:
Two
(2)
years
Customer Service
experience is required.
At least one
(1)
year of
HVAC
experience is preferred.
At least
(1) year of
Dispatching
experience is preferred.
Excellent verbal and written communication skills required.
Strong organizational skills and ability to multitask.
Advanced ability in decision making and problem solving.
Excellent customer service skills.
Adaptability to changing priorities, schedules, and requirements.
Google Business Suite experience is a plus, but Microsoft Office experience will translate.
Proficiency with documents and spreadsheets required.
ServiceTitan
CRM experience a plus.
High school or equivalent (Preferred).
Bi-lingual in Spanish is a plus.
Background and Drug Screening is required prior to employment.
Schedule:
Monday - Friday
Some overtime may be required.
