Description of Job
This position provides data entry, administrative support, and communication of business processes for the Human Resources transactions within the Department of Transportation. This position is responsible for the entry, validation, and accuracy of all person and position master data within the SAP and CPPS (Colorado Personnel Payroll System) and the filing systems. The position is responsible for understanding and applying the Personnel Rules and Procedures and CDOT Guidelines, Procedures, Policies and Directives to ensure integrity and provide excellent customer service. A high level of attention to detail and data entry accuracy is required.

Your duties and responsibilities
will include, but are not limited to, the following:
  • Review person and position human resources actions for completeness and compliance with the State Personnel Rules and CDOT procedures;
  • Provide employees, supervisors and HR specialists with guidance as to the procedures and required documentation to process a personnel action according to State Personnel Rules and CDOT policies, directives and procedures.
  • Read procedural instructions to learn what information has to be entered on a Personnel Change Request form prior to completion;
  • Enter correct data on the Personnel Change Request to complete the process;
  • Execute PA40 and PA30 transactions in the SAP system and enter the required information on each computer screen that is found on the documents;
  • Enter leave balances in the SAP system for separated employees;
  • Communicate with CDOT personnel to clarify and correct information; follow up on missing documents;
  • Perform various clerical functions to support the personnel filing associated with the mandatory record keeping for personnel actions;
  • Other job duties as assigned.
Work Environment:
  • Primarily 8:00 am \xe2\x80\x93 5:00 pm work hours, Monday-Friday

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

  • At least four years of work experience where the primary purpose was applying program rules and procedures for entry, retrieval, review, revision, and manipulation of data in a multi-agency computerized information database.

Substitution: Coursework from an accredited college or university in Data Science, Computer Science, or Human Resources will substitute on a year-for-year basis for the required experience. You must submit a transcript showing completed credit hours if using this substitution.

NOTE: If using education to qualify, a legible copy of your unofficial college transcript(s) or credential evaluation report must be submitted with your application. Transcripts from colleges or universities outside of the United States must be assessed for U.S. equivalency by a NACES educational credential evaluation service. Failure to provide a transcript or credential evaluation report will result in your application being rejected and you will not be able to continue in the selection process for this position.

The Exceptional Applicant will be an experienced HR Technician and will possess the proven ability or accomplishment in the following:
  • Demonstrated success with the duties listed in the Description of the Job section;
  • Comprehensive knowledge and experience performing complex data entry, retrieval, review, revision, manipulation, and reporting;
  • Experience interpreting and applying program rules and regulations;
  • Comprehensive knowledge and ability to work and interface between various databases;
  • Strong attention to technical detail and accuracy;
  • Proven ability to manage multiple assignments, priorities, and projects in a demanding environment;
  • Excellent keyboard/typing skills;
  • Punctual in office attendance and office meetings
  • Ability to work under tight deadlines and be adaptable to changing assignments;
  • Ability to take initiative to solve problems in an innovative manner;
  • Ability to work with all CDOT staff, with sensitivity to their needs, priorities, promises made and commitments;
  • Interpersonal and relationship building skills;
  • Highest work/personal ethics and integrity;
  • Experience working with confidential information and proven ability to keep confidentiality;
  • Excellent reasoning, investigative, analytical, and problem solving ability;
  • Ability to work effectively in both independent and team situations;
  • Fluency in Microsoft Office Suite (Word, Excel, Access), Gmail, SAP, and CPPS, and the ability to quickly learn other software systems.
