Job Summary:
The Human Resources Associate provides general administrative support to the Human Resources department including acting as the front desk receptionist for visitors to HR, answering & routing phone calls and general inquiries. Provides administrative support to team members. Also assists human resources team members with functional projects as needed. Uses judgment and tact in daily interactions; offers exemplary customer service to customers. Confidentiality required in all aspects of the position.

Major Duties and Responsibilities:

Essential:

1) Office Administrative Duties (50%)
  • Monitor and maintain orderliness of public HR areas to include front office reception, storage room, and forms supply area.
  • Monitor office supply inventories, recommend purchases, and is responsible for office related purchasing.
  • Significant interaction with all members of the HR staff is required to effectively accomplish tasks. Requires ongoing communication and status updates throughout the staff.
  • Assist members of HR staff with administrative support, data entry, project-related and/or daily activities as determined by Supervisor.
  • Other duties as assigned.

2) Front Desk Duties- (30%)
  • Field incoming calls and in-person contacts, probing for information and determining best source of assistance. Provide general information as requested by caller and/or consult with area specialists in order to provide detailed information.
  • Perform/provide and coordinate various office services inclusive of, but not limited to answering phones, routing calls, taking messages, and receiving/greeting/announcing visitors. Control traffic flow within HR offices in a professional and well-organized manner.
  • In the absence of functional specialists, provide general information and assist individuals in order to ensure uninterrupted customer service.
  • Receive and process incoming mail and general communications, including HRInfo@regis.edu, on a daily basis and distribute to HR staff members in an accurate and timely manner. Perform daily campus pick-up and delivery of mail or other items.

3) Talent Acquisition Support - (20%)
  • Prepare and collect forms, obtain approval signatures, and ensure data is accurate and complete. Distribute documents and information to affected departments in a timely manner. Resolve and process address change notifications from the U.S. Postal Service.
  • Prepare new hire packets and make changes to forms as necessary.
  • Copy, distribute, and file documentation for all new hires and employee status changes.
  • Develop and maintain personnel recordkeeping system and indexes for current, former and archived personnel files.
  • Audit and maintain accuracy and completeness of Form I-9 files in accordance with legal requirements.

MINIMUM REQUIREMENTS:

Education:
  • High School Diploma or GED required. Bachelor\'s degree preferred.

Experience:
  • One to three years of progressively responsible administrative experience, with preference to specific experience supporting a human resources function.
  • Demonstrated experience working with Microsoft Office Suite (Excel, Word PowerPoint, One Drive and SharePoint.
  • Demonstrated critical thinking communication skills, both written and verbal.
  • General understanding and/or exposure to other human resource related functions, i.e., recruitment, benefits administration, compensation, learning and development, etc.
  • Workday HCM experience preferred.

  • Mathematics - A working knowledge of quantitative skills and their application.

WORKING CONDITIONS:
  • Working conditions are normal for an office environment. Work may require occasional weekend and/or evening work.

Pay Rate:
