Job Description


The HR Associate assists with the day-to-day operations of Human Resources and Payroll Services office supporting both the payroll and Human Resources functions equally. The HR Associate plays a key role in delivering exemplary customer service. This is a 35 hour a week position.

Essential Functions

  • Provide telephone coverage, including accurate and timely messages.
  • Interface with public; e.g., other office staff, faculty, alumni, community members.
  • Participate in scheduled mail pick-up and deliveries to and from President\xe2\x80\x99s Office, mail room, and other locations.
  • Assist with group projects, e.g., stuffing/labeling large mailings.
  • Assist other University offices in times of critical need.
  • Schedules appointments and maintains calendars for HR/Payroll staff as necessary
  • Maintains paper/electronic filing system for department.
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Book travel arrangements
  • Reconcile monthly credit card receipts
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; & maintaining equipment inventories
  • Develop and update administrative systems to make them more efficient
  • Monitor Human Resources general email
  • Maintain and issue timesheet approver codes in Banner
  • Compile list of New Hires for University Breakfast
  • Order University IDs and name badges
  • Data entry into Banner (HRIS)
  • Send copy of Recruitment Requisition and/or Personnel Action Form to supervisor upon completion from HR Specialist
  • Create personnel files for employee\xe2\x80\x99s documents, updating continuously.
  • Use E-Verify to ensure I-9 is complete for new hires.
  • Processes employee change request throughout the year, such as address updates, tax form updates, etc.
Other Duties & Responsibilities
  • Handle sensitive information in a confident manner.
  • Exceptional people skills and the ability to solve problems working with others in a team environment is essential. Proficiency in Excel, Word, and Microsoft Office products preferred. Familiarity with both private and public universities a plus; demonstrated ability to draw conclusions and make recommendations based on research data and findings.
  • Maintains a safe working environment within and around their facilities and associated equipment and supplies including, but not limited to, obtaining Safety Data Sheet (SDS) information pertaining to any hazards associated with their work environment.
  • Participates in all required assigned training, including safety training and will comply with safety rules, regulations, and protocols.
  • Highly effective written and oral communication skills.

  • Contributes to the overall success of the University by performing other duties as assigned.
Qualifications
  • High School Diploma or GED equivalent required, Associate\xe2\x80\x99s degree preferred.
  • Proficient in Microsoft Office, Excel, Outlook, Adobe PDF
  • Two years of office administration, preferred
