JOB SUMMARY


Under the supervision of the Human Resources Manager, the Human Resources Clerk is responsible for providing administrative and clerical support to the Human Resources department. This position handles all HR related administrative tasks, maintains up-to-date employee records, and provides general support to the HR team.

ESSENTIAL DUTIES


Assists with recruitment efforts, including processing requests for personnel, job posting on various job boards and updating as needed, scheduling interviews, and opening Zoom room interviews.

Assists with coordinating the onboarding process including coordination of orientation day, background checks and pre-employment screenings.

Maintains and creates new hire folders ensuring folders are accurate and readily available.

Assists with facilitating orientation day of new employees for day 1 and 2. Includes creating new employee ID Badges.

Assists with tracking of employee certification and licensures.

Assists with gathering documentation required for audits.

Maintains and organizes personnel files. This includes scanning files to convert to electronic records.

Performs general clerical duties including typing, copying, faxing, etc.

Supports diversity, equity, and inclusion initiatives especially as it relates to onboarding and retention.

Collaborates with Operations to look for creative ways to engage, recognize, and communicate with the workforce.

Backs up for all HR general office operations- as needed.

Assists in preparation of special events such as Agency Meetings, Annual Picnics, Christmas Party, and other office or company events.

Creates and distributes flyers for HR communication needs.

Performs other duties as assigned.

REQUIRED SKILLS/ABILITIES


A working knowledge of employment law and regulations.

Must be proficient with Microsoft Office software, including proficiency with Excel, computers, e-mail, calculators, printers, copiers, and fax machines.

Must be able to handle a heavy workload while maintaining accuracy in all assigned areas of responsibility and maintain strict confidentiality of all communications and information.

Bilingual/Bicultural (English/Spanish) preferred.

Must have excellent verbal and written communication skills, ability to deal with a wide variety of people both in person and on the telephone.

Possession of a valid Illinois driver's license and willingness to use personal vehicle in course of employment - required.

Occasional offsite travel may be required on a as needed basis to attend meetings, trainings, or company events.

EDUCATION & EXPERIENCE


Bachelor's degree in human resource or related field preferred.

Minimum of one (1) year of general Human Resource experience in a non-profit setting preferred.

Minimum of two (2) years of office or clerical experience required.

PHYSICAL REQUIREMENTS


Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
