Navarro Research and Engineering is recruiting for an HR Administrative Assistant in Carlsbad, NM.

This position will provide administrative support related to Human Resource issues. The position will be categorized as a Administrative Assistant I or II.

  • Assist CBFO Resource Manager as needed on various personnel-related administrative functions.
  • Maintain strict confidentiality at all times concerning CBFO personnel matters.
  • Recruiting \xe2\x80\x93 Coordinate recruit events for CBFO to attend; occasional travel to recruiting events representing CBFO; develop recruiting materials for job fairs; create and maintain profiles on social media websites and other types of sites pertaining to CBFO job openings.
  • Edit and maintain the HR managements systems page on CBFO SharePoint site.
  • POC for CBFO Awards (Non-Performance Based) \xe2\x80\x93 fill out and route documentation for On the Spot and Special Act Awards; enter awards into the CHRIS system for processing; maintain awards spreadsheet with total expenditures to report to CBFO and EM management.
  • POC for CBFO Employee/New Hire Incentives \xe2\x80\x93 facilitate routing and obtaining approval of recruitment, retention and relocation incentives; enter incentives as necessary into CHRIS system for processing. Track as necessary to completion.
  • POC for Telework Program for CBFO \xe2\x80\x93 ensure forms are filled out and signed; advise employees on telework policy program information.
  • Personnel Action Processing - Review Tickler Reports and track grade increases and ensure approval; enter personnel actions into CHRIS; POC for WGIs and Employee Probation Notices
  • POC for Onboarding coordination \xe2\x80\x93send Welcome letter to new employee; coordinate with HR Consultant to set up formal onboarding of employee; ensure the coordination of the non-HR portion of onboarding (Security, IT, space, etc.); ensure work schedule, payroll, telework, etc. are filled out and submitted for processing.
  • POC for Professional Credential Reimbursements Program \xe2\x80\x93 ensure proper documentation is submitted to EMCBC for processing.
  • Organize electronic HR folders and files.
  • Attend CBFO Position Management Council meetings; Resource Manager meetings and other job related meetings and take notes for later reference.
  • Assist Resource Manager with facilitating the Intern program at CBFO.
  • Develop electronic forms and documents to maximize efficiency for HR. Create and maintain position tracking spreadsheet with data for reporting statistics to CBFO management.
  • Serve as back up to Resource Manager in ePerformance system, USAStaffing system and other HR related systems.
  • Update CBFO Hiring Status report on Teams as necessary.
Requirements
  • Some Human Resources related experience.
Administrative Assistant \xe2\x80\x93 I

Requires: High School diploma or GED and five years of administrative/business experience or an associate degree in an administrative/business related field and one year of administrative/business experience plus demonstrated knowledge and experience in business office procedures, etiquette, and professionalism to perform administrative support functions including: preparation, maintenance, modification, filing and retrieval of letters, memorandums, simple and/or complex spreadsheets, graphs, charts, presentations, and other written communications and visual aids in support of activities; answering phones, scheduling appointments, operating reproduction machines, filing correspondence and miscellaneous documentation, mail distribution; inventorying and managing government property; inventorying and managing project records; creating files; timekeeping; data entry; setting up meetings, training, and other administrative functions as assigned.

Administrative Assistant \xe2\x80\x93 II

Requires: Associate\xe2\x80\x99s degree in an administrative/business related field and five years of administrative/business experience or eight years of administrative/business experience plus demonstrated knowledge and experience in business office procedures, etiquette, and professionalism to perform administrative support functions including: preparation, maintenance, modification, filing and retrieval of letters, memorandums, simple and/or complex spreadsheets, graphs, charts, presentations, and other written communications and visual aids in support of activities; answering phones, scheduling appointments, operating reproduction machines, filing correspondence and miscellaneous documentation, mail distribution; inventorying and managing government property; inventorying and managing project records; creating files; timekeeping; data entry; setting up meetings, training, and other administrative functions as assigned. The determination of AA II status should be made by the CTAC managers and supervisors, in conjunction with the CO and should be based the complexity of the assigned tasks and employee performance.
