Job Description

Head Start is a federally funded early childhood program that promotes school readiness by providing comprehensive education, health, nutrition, and family support services to eligible children and families. Within Head Start, ERSEA--Eligibility, Recruitment, Selection, Enrollment, and Attendance--ensures that programs identify and serve the children and families who will benefit most. The

Head Start/ERSEA Program Assistant

will play a key role in supporting these processes and helping our Federal Programs team deliver high-quality, equitable services to our community.

Essential Job Functions:



Aids with application processes for Head Start and VPI, specific standards of documents required of new students Records, files and maintains paperwork for the department within electronic filing software or programs Establishes and maintains a system for document disposal per the Library of Virginia Tracks and maintains information on required health screenings for all students Coordinates with all School Nurses for initial screenings and Spring Screenings of PreK Students Tracks and maintains information on all required developmental screenings for all students. Coordinates with ECSE for collaborative student onboarding and tracks information regarding students screening and evaluation for IEPs Prepares federal documents as required: + Provides monthly enrollment reports to Federal Government for Head Start + Provides data for monthly School Board Meeting Reports
+ Support annual grant writing
+ Processes Annuel Program Information; submits to the Federal Government
Establishes and maintains a system for tracking training records of HS and VPI teachers Provides data for VPI Bi-annual Reporting and projections Maintains a staff checklist and regularly updates/reviews for required training, certifications, credentials, and criminal background checks Supports Policy Council meetings, Health Services Advisory Committee and other committees in preparation, reproduction, distribution and recording of meeting agendas, minutes, reports and other information; provides monthly data reports for policy council, including information on assessment data of students Assists with meeting logistics, such as child care arrangements, snacks, room set-up, etc Provides support for staff meetings, training and other events as needed and/or requested Keeps abreast on Head Start Performance Standards and local/state child care regulations Attends specialized Head Start ERSEA training as required Assists Program Director in all aspects of program administration, as required.

Education and Experience:





Required

High School Diploma or GED certificate Three (3) years of administrative experience, ideally within the Education industry


Preferred

Associate's Degree and/or special certificates with an emphasis in Business Administration, Data Analysis or related field

Special Requirements:



Employee must complete a minimum of 15 hours of Professional Development each school year for ERSEA compliance

Employment Terms:

Employment may be offered as a

12-Month (243 Day)

, full-time position. The work schedule for this position is 7.5 hours worked per day, excluding lunch. This position is evaluated annually.
