Description:
The Guest Services Assistant is the initial face of the YWCA to all guests, providing professional welcoming and friendly service. The Guest Services Assistant manages the secure entrance of guests, greets them and directs them to the appropriate staff member or meeting venue. The Guest Services Assistant also answers the phone and general emails - directing them appropriately, as well as performing general administrative support to the organization.
General Duties:
Monitor building securing cameras; report irregularities to appropriate authorities
Greet staff, clients and guest; answer questions and direct guests to the appropriate staff member or meeting location
Answer phones and questions, provide general information and direct calls
Engage staff in order to answer questions and resolve guest issues
Participate in staff meetings and recommended/required trainings
Perform general administrative support for staff such as making copies, completing forms and paperwork, scanning documents, etc.
Manage incoming and outgoing mail and packages
Perform light housekeeping to keep main office area clean and organized
Requirements:
High School Diploma or GED
Passion to provide a high level of customer service
Discretion and ability to maintain confidentiality in all matters
Commitment to being at work on time, every day to ensure proper Welcome Desk coverage and service
Use empathy and problem-solving to listen carefully, understand what guests need and help them or refer them to the right person or resource
Cultural competence and ability to interact with people of different backgrounds
Computer skills including effective use of Outlook email, Microsoft Office and other agency systems
Ability to lift 25 lbs and climb stairs
Ability to remain calm in crisis or chaotic situations; engaging internal and/or external resources needed to de-escalate and resolve conflict
