Responsibilities




  • Responsible for Institute pre-award activities for Institute funded projects, which include research proposal review, routing Notice of Agreements for signatures, budget and cost share preparation, initiation of sub-contracts, and submission of documents in RAMP.
  • Reviews proposal terms for compliance concerns and analyzes proposal documents for accuracy and compliance with University, Institute, and funded entities\' requirements.
  • Responsible for determining the best procurement method. Prepares purchase orders or utilizes P-Card for funded entities.
  • Maintains and updates records of all Notice of Agreements and Purchase orders. Tracks deliverable submissions and processes invoices for payment.
  • Responsible for Institute post-award activities, such as preparing financial reports, tracking salary commitments, identifying and resolving funding and compliance issues, and coordinating project close-out.
  • Monitors project budgets, processes budget amendments, and requests project advances.
  • Ensures expenditures are in compliance with federal, state, and university regulations regarding purchasing materials, supplies, or services for various funding agencies.
  • Prepares and processes procurement activities for Internal awards, Institute funded projects, and Sponsored Research and Research Foundation funding sources.
  • Coordinates with the Administrative Specialist to appoint personnel on these funds. Reviews HR actives reports to ensure all Sponsored Research appointments are accurate.
  • Responsible for Institute pre-award activities for sponsored research awards, which includes advising Principal Investigators (PIs) on grant submission initiatives, including interpretation of specific guidelines & technical information, budget & cost share preparation, initiation of subcontracts, and submission of electronic & paper application documents. Reviews proposal terms for compliance concerns and analyzes proposal documents for accuracy and compliance with University and funding agency requirements.
  • Acts as liaison to Sponsored Research Administration, Research Foundation, funding agencies, funded entities, and other relevant organizations. Communicates pertinent information from these offices to faculty. Advises Directors/PIs of recommendations concerning the development, revision, and interpretation of all policies relating to research activities.
  • Collaborates with Grants Business Manager to manage workflow and establish new project management processes. Works closely with the Budget Manager and Associate Director of Administration to develop, recommend, and implement departmental policies and procedures to align Institute and university compliance and effective fiscal management of externally and internally sponsored projects.
  • Contributes to the overall functioning of the Institute, which includes, but is not limited to, 1) participation in staff meetings; 2) contributing to regular or ongoing Institute initiatives (e.g., annual symposium) as needed; and 3) participation in professional development activities.


Qualifications





Bachelor\'s degree; or a high school diploma or equivalent and experience equal to five years. (Note: post high-school education and/or experience may substitute at a comparable rate.)
  • Ability to prioritize, organize and perform multiple work assignments simultaneously.
  • Ability to meet project deadlines.
  • Knowledge of federal, state, and private sources for contract and grant funds.
  • Ability to communicate effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships.
  • Ability to perform accurately in a detail oriented environment.
  • Ability to compile, review, and reconcile data for accuracy, completeness, and compliance.
  • Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.
  • Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
  • Knowledge of applicable computer applications and basic computer functions.
