The Grant Coordinator role requires strong analytical, problem-solving, and communication skills to support Principal Investigators (PIs) or Project Directors (PDs) and coordinate with internal departments and external funding agencies. Facilitates grant applications by supporting PI/PDs in understanding APU policies and procedures for grant submissions, and by reviewing grants prior to submission to make suggestions for successful applications and post-award expectations. Monitors all aspects of an awarded grant after it's been received, ensuring financial and administrative compliance.


REPRESENTATIVE DUTIES




Responsibilities include: preparing and/or reviewing administrative material for grant submissions; budget forecasting and management; ongoing monitoring of fund statements; financial management and monitoring of awarded grants, resolution of accounting problems/errors; functioning as a liaison to federal and non-federal grantor agencies and subcontracting institutions; monitoring all grants and contracts for compliance issues; assisting PI/PDs and program staff in submitting their semi-annual effort certification forms/reports; and facilitating project closeout.


Facilitates awarded grant administration activities and ensures timelines are met. Disseminates relevant information to staff, faculty, and administrators. Interprets and ensures compliance with agency rules, regulations, guidelines, etc. Assists principal investigator/program director in award compliance. Assists with grant orientation for new principal investigators/project directors and APU community on policies, forms, and procedures required for sponsored projects. Assists with the preparation of funding agency reports, in conjunction with the principal investigator/program director and/or grants accountant. Acts as a liaison for awarded grants to community organizations, government agencies, funding agencies, and APU teams. Reviews and prepares information and reports for internal and external stakeholders. Edits and organizes grant documents written by other staff and faculty. Researches related information and data. Facilitates workshops for and provides technical assistance to APU staff, faculty, administrators, and teams. Develops training materials. Develops data collection systems. Establishes calendar of reporting and closeout reminders for sponsored programs, reminds principal investigators/project directors of reporting deadlines. Acts as the compliance point of contact for all assigned projects and provides training, develops training materials, guidance and advice to program staff on compliance issues and questions. Completes routine checks on grant budgets and expenditures. Participates in audits and preparation for audits. Informs principal investigators/project directors of any compliance issues regarding grantor agency regulations, and disallowances with their program. Assists in correcting discrepancies and monitors corrective actions. Works as a team with Office of Advancement staff in performing sponsored program activities and assists the university with maintaining external funding. Assists with non-competing continuation applications. Vets all issues outside of standard policies and procedures with Provost. Performs document closeout of awarded projects. Maintains necessary records, files, reports, databases, and resource materials pertinent to Sponsored Programs activities. Works with PI/PDs, faculty, staff, and sponsors to provide excellent customer service and resolve complex issues related to sponsored projects. Develops and manages relationships across key sponsored research stakeholders; communicates with researchers, administrators, and sponsors to facilitate timely proposal submissions. Monitors grant opportunities and shares best-fit opportunities with Administration or appropriate potential PI/PDs. Other duties in support of the smooth functioning of the O?ce of Sponsored Programs as assigned by supervisor

KNOWLEDGE and SKILLS




Knowledge of federal grants and other external funding sources; Knowledge of effective project management techniques; Knowledge of educational institutions and policies and procedures; Knowledge of post-award compliance best practices. Skills in designing, writing, and editing complex grant documents including reports; Skills in operating a computer and various supporting software packages. Skills in leading and motivating co-workers.
Skills in ability to Read, comprehend, interpret, andgovernment regulations and proposal guidelines;

MINIMUM EDUCATION QUALIFICATION




Bachelor's Degree required; Master's Degree preferred.


MINIMUM EXPERIENCE QUALIFICATION




Three years of experience working with grants from both government and private funding sources, to include interpreting reporting requirements and funding guidelines, and monitoring budgets
