The primary focus of the Grant & Contract Officer in Research Administration is to support one or more functional areas within ORSPA by providing contract review, management of all award set-up/project accounting/cash management and analysis of award disbursement to ensure compliance with all applicable university, sponsor, ABOR, state and federal requirements, standards and regulations. This is the intermediate level position in research administration and under administrative direction supports one or more functional areas including, but not limited to: funding information; regulatory compliance; proposal preparation and processing; award negotiation and acceptance (including contracts and subcontracts); award setup; post-award administration; project accounting and cash management; cost analysis and compliance.

Working Environment

  • Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting.

Minimum Qualifications

Essential Duties

Technical Focus Path Acts as a resource to ASU Research Advancement Administrators, provides assistance, guidance and counsel during development, pre-submission administrative review, management, authorization and transmittal of grant and contract proposals to federal, state, and private funding agencies to verify and ensure ongoing compliance with all applicable regulatory and financial compliance requirements imposed on Institutions of Higher Education including, but not limited to: sponsor, ABOR, university, state and federal regulations. In conjunction with and in support of Research Advancement Administrators reviews grant and contract award terms and conditions; actively participates in the negotiations of terms providing recommendations, assistance and support during negotiations as necessary; reads and interprets contracts and other award documents to determine budget, invoicing schedule, restrictions and other pertinent information. Interprets regulations and guidelines of program funding for complex grants and contracts; prepares renewals and periodic reports for grant agencies. May be responsible for setting up awards in the ASU systems, as request or required. Works in conjunction with Research Advancement Administrators to ensure timely and accurate post-award accounting of grants and contracts; reviews reconciliation of accounts for compliance of charges in accordance with sponsoring agency/contract conditions and requirements. Manages awarded projects in accordance with University and sponsor regulations; provides contract, policy and procedure interpretation to academic departments; reviews and assists prepare invoices, standard and non-standard accounting reports to federal and sponsoring agencies, including, but not limited to: detailed cost and financial analysis, forecasts and projections reflecting interrelationships of accounting data, and provides financial tracking and fiscal control to fulfill reporting requirements. May prepare or assist in preparation of special accounting studies and monitors final reporting requirements. As a resource, interacts with sponsors and staff to resolve problems and correct errors in fund management to ensure timely collection of revenue through accurate presentation of invoices. Maintains all applicable project records and files; decides proper handling of financial transactions; approves transactions within designated limits. Provides solutions to problems presented by lower level staff and recommends changes to accounting system, methods or procedures to management, utilizing knowledge of accounting principles and practices. Reviews computer reports for errors or inconsistencies; investigates and corrects problem. Management Focus Path In addition to the Essential Duties and Functions listed above in the Technical Focus Path, a Grant ; Contract Officer, Grant ; Contract Officer, Sr. or Grant ; Contract Officer, Pr., will be focused on a career path which includes duties associated with the supervision and leadership of a team of Grant ; Contract staff members and managing their workload. Assists with orientation and general assistance on departmental policies and practices to new staff. May be assigned to create, develop and or deliver training materials for use by team/dept; acts as mentor to assigned staff. Works with assigned team members to provide guidance and assistance when needed to resolve complex issues. Documents activities and tracks progress. Responsible for day to day management of assigned team members, guide professional development, provide input/perform performance evaluations. Assists/oversees management of established project budget. Supports customer groups and other internal university contacts. May represents organization on specific projects. Acts as representative for assigned team members on strategic goal development and execution.

Salary Range

$44,950 - $62,000 per year; DOE
