The Utah Department of Health & Human Services, Finance & Administration office is looking for someone who understands service! It's much more than just knowing how to file and answer a phone. Work with a dynamic group of like minded professionals in a comfortable setting where you will exercise considerable independent judgment to accomplish daily tasks which will require advanced office skills. Must possess an ability to use systems to gather and apply pertinent rules, regulations, policies, and procedures to individual customer interactions. The employee will perform a variety of complex, independent decision-making skills with minimum direct supervision.

Preference may be given to current Department of Health & Human Service (DHHS) employees; or employees with previous training and/or experience working with State Fleet and FleetFocus

Responsibilities

As a General Service Specialist, Fleet Specialist, you will perform the following:Creating Fleet IDs, and training other OAS staff how to create them. Providing staff with information regarding Fleet rules as needed. Providing feedback to Fleet Contacts when corrections are needed to vehicle locations and financial coding Determining Fleet Utilization and Mileages, and publishing reports Informing staff whose Drivers Licenses are invalid that they may not drive, and monitoring for reinstatements. Preparing monthly Accident Reports for review by the Driver Safety Committee. Preparing letters for Preventable Accidents regarding required safety training or driving suspensions. Reporting Driver Safety Committee results to State Fleet. Providing customer service when clients, family, or community partners come in. Answering multi-line phones. Preparing and processing documents; data entry. Maintaining files and record keeping systems. Understanding and communicating information and ideas clearly, and concisely, verbally and in writing. Scheduling appointments and making arrangements for conference rooms. Maintaining a professional and respectful office environment for internal and external customers. Providing administrative support as needed. Communicating staff changes to other administrators as needed. Assisting conference room users with audiovisual needs. Other duties as assigned.

Qualifications

The Ideal Candidate

Has at least one year of experience working in a professional office environment. Has data entry experience. Is detail oriented. Works independently with little or no supervision. Able to learn new operating systems in a quick and efficient manner. Handles stressful situations with tact and professionalism. Strong working knowledge of Google (Gmail, maps, internet, docs, sheets, calendar, hangouts, chat). Strong working knowledge of Microsoft Office products. Excellent interpersonal and customer service skills. Strong attention to detail and organization.

EffectiveJuly 1, 2021, State of Utah Employees must either reside in Utah or be in the process of relocating to within 30 days of their start date. Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc. Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
