Job Description

F.T.E:

40 hrs/week (1 F.T.E.)

Schedule:

Primarily during the standard workweek, 8:00 a.m. - 5:00 p.m. with a scheduled one-hour unpaid lunch break.

Status:

Non-exempt - hours worked in excess of 40 hours in the workweek must be pre-approved by the Executive Director.

Physical Requirements:

This position requires the ability to read written materials, both paper

and electronic, the ability to perform computer tasks 2-5 hours per day, the ability to speak to customers in person and on the phone.

Job Expectations



I. Agency/Office Duties



A. Perform general office duties:

Develop and maintain working knowledge of agency programs and services.

Offer professional and courteous reception services.

Manage multi-line phone systems including incoming calls, messages, voice mail management, etc.

Mail management include incoming daily mail, outgoing mail, bulk mail, creation and maintenance of agency mailing lists and office postage supply.

Fax management including sending outgoing faxes and routing incoming faxes on a timely basis. Maintain supplies necessary to operate machine.

Organize office operations and procedures.

Inventory and order general office supplies and materials as needed.

Oversee office machine service - fax, phone system, copy machines.

Maintain office files related to reception.

Open and close the office daily.

B. Provide General Administrative Support including:

Respond to or route general agency e-mail messages.

Mail agency checks.

Take minutes at administrative team and staff meetings.

Other duties as requested.

C. Perform program specific duties as needed, with oversight from program staff..

Inventory and print all State forms

Conduct initial information/screening for child care scholarship program.

Prepare closed scholarship files for storage.

D. Participate in coordinated agency activities as requested.

E. Act as liaison for building maintenance.

F. Other duties as requested by supervisor.

II. General Work Characteristics



A. Comply with CCR Personnel and Fiscal Policies.

B. Complete assigned work in a timely manner.

C. Submit completed time sheets on 15th and last working day of each month and submit leave requests well in advance of anticipated leave.

D. Behave as a courteous and responsible representative of CCR in interacting with other staff and community members.

E. Promote CCR and its mission to community members, potential donors, clients, and policy makers, as directed.

F. Participate in agency fundraising, public awareness and advocacy activities as requested by Executive Director

III. Minimum Requirements



Two years of clerical experience.

Two years of customer service experience.

Proficient in computer skills including Windows and Microsoft Office programs.

Multi-line phone experience.

Excellent written and oral communication and organizational skills.

Familiarity with child care, child/family issues preferred.

Ability to work independently, to develop systems to manage tasks and to adhere to standards of confidentiality.

Job Type: Full-time
