We are seeking a professional and organized Front Desk Receptionist to join our team. You will play a vital role in creating a welcoming atmosphere for clients, visitors, and employees. Your responsibilities will include providing administrative support, managing communication, and ensuring the office runs smoothly by offering excellent service to all who visit or call.
Duties
Greet visitors and clients warmly, providing excellent customer service
Answer multi-line phone systems promptly and professionally, directing calls as needed
Manage appointment scheduling and calendar management using Microsoft Office and Google Workspace tools
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Handle correspondence via email and phone, demonstrating proper phone etiquette
Maintain office supplies inventory and order necessary materials
Assist with basic bookkeeping tasks using QuickBooks or similar software
Support office management tasks, including document preparation, record keeping, and administrative support for staff
Provide customer support by addressing inquiries efficiently and courteously
Support personal assistant duties as required, including scheduling meetings and managing calendars
Qualifications
Proven experience in office management, clerical work, or administrative roles
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
Familiarity with QuickBooks or bookkeeping software is preferred
Excellent organizational skills with the ability to prioritize tasks effectively
Strong typing skills and attention to detail for proofreading and data accuracy
Exceptional customer service skills with professional phone etiquette
Bilingual abilities are highly desirable to serve diverse clientele effectively
Previous experience as a medical or dental receptionist is a plus but not required
Ability to handle multiple responsibilities simultaneously in a fast-paced environment
Prior experience with office equipment such as multi-line phone systems is preferred
