Job Description

Ruhl&Ruhl REALTORS has an immediate opening for a full-time Front Desk Administrative Assistant in their Davenport office. This position supports their real estate agents, and also works closely with their co-workers, corporate staff, clients, and the general public. The ideal candidate will have strong computer skills, experience in a customer service role, and be very dependable; the ability to multi-task is essential to be successful in this role.

Greets the public in person, on the telephone, and provides general information and directs to the appropriate party as necessary. Performs general administrative duties including: typing, data entry, copying, filing, handling incoming and outgoing mail and faxes, making calls, and sending emails. Creates seller and neighborhood reports as needed for agents. Orders home warranties as needed. Enters open house information. Performs general housekeeping tasks in the reception area, MLS room, conference rooms, and kitchen. Troubleshoots for copiers, fax machines, printers, and computers. Submits work requests to IT as needed. Provides backup support for the MLS administrator Cross trained to review agent paperwork for legal compliance and process as needed Drop mail at the post office, as needed. Updates office phone list Maintains master keysafe sheet and in responsible for tracking each keysafe and completes audits as requested Ensures all office supplies are stocked and completes ordering. Required Knowledge, Skills, and Abilites

Knowledge of: real estate laws and forms. Skill/Ability to: maintain confidentiality; identify and resolve problems in a timely manner; gather and analyze information; prioritize and use time efficiently and effectively; establish and maintain effective working relationships with employees, managers, agents, and the general public; maintain files accurately; multi-task; be patient and flexible and adjust to changing priorities; manage stress in a fast-paced environment; communicate effectively, both orally and in writing. Confidentiality, dependability, team-oriented mentality, and a sense of humor are imperative.
Working Conditions

Climate Controlled Office Moderate Noise Level Most of the work is performed in a fast paced office with frequent interruptions and the need to deal with a diverse group of people. Deadlines common and stress normal. Flexibility imperative.
Physical Conditions

Sit, stand, walk and move about the office Occasionally climb stairs, balance, stoop, kneel, crouch, or crawl. Talk and hear both in person and on the telephone. Use hands and fingers to manipulate or maneuver objects, tools, or controls and reach with hands and arms to type, write, and use the computer and telephone system. Read reports and use the computer on a regular basis. Occasionally lift and/or move up to 25 pounds.
Minimum Qualifications

Knowledge of real estate laws, practices, forms and procedures is preferred. 2 years of experience in an office environment, an Associate's Degree is desirable, but not required. Advanced computer skills; previous experience working with Google Suite, or similar products is necessary. Hard-working and successful in previous positions. Strong communicator and mediator. Well organized. Excellent time-manager.
