We are seeking a detail-oriented and organized Office Assistant to join our dynamic team in a floating position for Fallston & Baltimore location. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires excellent communication skills, proficiency in office management, and a strong ability to multitask in a fast-paced environment.
Responsibilities
Reporting to Management on all duties.
Manage front desk operations, including greeting visitors and managing a multi-line phone system with professionalism and courtesy.
Perform data entry tasks accurately and efficiently, maintaining up-to-date records and files for both electronic and paper documents.
Maintaining schedules for clients, employees and DME team.
Utilize Google Suite for document creation, spreadsheets, and presentations as needed such as Word, Excel, Google docs
Proofread documents to ensure accuracy and clarity before distribution.
Assist with time management by scheduling appointments and coordinating meetings for clients and staff.
Communication with Support Planners Agents (SPA) on a regular basis.
Support office management tasks, including inventory management of office supplies.
Managing new and current patients in their residential homes by assigning a caregiver to provide services and delivery team to deliver medical equipment and supplies to their residential homes.
25% driving: meet potential clients, marketing, attending discharge meetings, client introduction, training new staff, etc.
Hiring and training new staff such as CNA, CMT, GNA, Health aides, RN, DME driver, etc.
Assisting case managers, support planners, State appointed teams with client needs.
Keeping track of all nursing assessments completed for each client and being sure that all are up to date.
Taking part in a weekly meeting to discuss any updates and/or changes
Telemarketing skills with Patient Management
Providing support to clients by addressing their inquiries in a clear and detail oriented manner.
Ensuring the office environment is kept tidy and hospitable at all times.
Utilizing strong interpersonal skills to build and maintain positive client relationships.
MUST DRIVE!!!
MUST HAVE 1ST AID & CPR CERTIFICATION!
MUST PASS BACKGROUND CHECK!
DAYS - Monday through Friday
Hours - 9am - 5pm (3 days in Baltimore County and 2 days in Fallston), alternating weekly if the staff desires!
Experience
Previous experience in an office settings or similar administrative role is preferred.
Proficiency with phone systems and strong phone etiquette skills are essential.
Familiarity with data entry processes and office management best practices.
Experience using Google Suite applications (Docs, Sheets, Drive) is highly desirable.
Strong time management skills with the ability to prioritize tasks effectively.
Excellent attention to detail and proofreading abilities are a must.
