Fleet & Equipment Maintenance Manager

Job Description

The Fleet & Equipment Manager is responsible for the full lifecycle management of the company's fleet, including vehicles, construction equipment, and trailers. This role ensures all assets are safe, well-maintained, DOT/OSHA compliant, and efficiently utilized across all projects and divisions. The manager leads a centralized maintenance team, oversees repairs, manages asset tracking systems (GeoTab & Fleetio), and drives continuous improvement in cost control, uptime, and field support.


KEY RESPONSIBILITIES





Fleet & Equipment Operations


Manage day-to-day operation of all fleet assets (~250 units: vehicles, equipment, and trailers) Prioritize shop repairs and field requests using Fleetio and GeoTab systems Oversee equipment and vehicle dispatching, including Equipment delivery logistics Coordinate inspections, cleanings, drop-offs/pickups, and readiness for deployment

Maintenance & Repair Program


Develop and maintain preventative maintenance (PM) schedules for all asset classes Ensure all maintenance tasks have clear owners, deadlines, and checklists Implement seasonal checklists (winter/summer) for critical systems Track repair history and flag repeat failures to avoid frequent returns Monitor hours/miles between failures and schedule proactive service Ensure timely repairs using correct parts and OEM specifications Stock frequently used parts and proactively order long-lead-time items

Shop & Team Leadership


Lead a 3-person mechanic team; plan workloads and provide coaching Help transition to a working Shop Manager role (repair-capable leader) Oversee workspace cleanliness, safety, inventory, and efficiency Build future capabilities (additional techs, mobile maintenance, tool management)

Compliance & Safety


Ensure DOT, CDL, and OSHA compliance across the fleet and field use Maintain records for inspections, registrations, insurance, and accident reports Train drivers and operators on pre-trip inspections, safety protocols, and field service logging Track and reduce safety violations and unplanned downtime

Technology & Systems


Use Fleetio for asset tracking, inspections, repair history, and work orders Use GeoTab for GPS tracking, performance monitoring, idling, and utilization Provide visibility to leadership on status of vehicles and equipment (ready-to-rent or out-of-service) Standardize processes in one platform for field teams to request, check status, or report issues

Fuel, Keys, & Access Control


Monitor and report on fuel use and idle time via GeoTab Develop and manage a secure key management system with 24/7 access and tracking Implement notifications for asset check-out, return, and key usage

Procurement & Lifecycle Management


Evaluate buy vs. lease options, manage asset acquisition and disposal Create standard specifications by vehicle and equipment class Plan asset replacements based on mileage, hours, downtime, and cost data Maintain CapEx plan with input from Operations and Finance

Cost Control & Reporting


Track total cost of ownership (TCO) per asset Identify cost-saving opportunities in repairs, fuel, and equipment deployment Provide reporting on repair backlog, asset utilization, downtown and fuel burn, and PM compliance rates.

Vendor & Field Support


Build strong relationships with parts suppliers, repair vendors, and rental companies Support field teams with responsive delivery of working equipment and timely repairs Negotiate favorable service and parts agreements

QUALIFICATIONS




5+ years of experience managing mixed fleets in construction or industrial settings Working knowledge of vehicle/equipment diagnostics and repair processes Strong understanding of DOT, OSHA, and inspection standards Proficient with fleet technology (Fleetio, GeoTab, or equivalent) Leadership skills to build, coach, and grow an internal team Strong organizational, communication, and decision-making abilities

PREFERRED EXPERIENCE




Prior hands-on mechanical experience (diesel, heavy equipment, trailers) Experience transitioning a shop into a proactive, service-first department Experience implementing or standardizing fleet systems CDL or equipment operator certification
