Summary/Objective

This position provides financial support to all units within the Facilities Management Department by providing services including but not limited to, the collection and formatting of information; the processing of information accurately and in a timely manner; the analyzing and communicating information to ensure accurate knowledge for decision-making. This position reports directly to the Manager of Financial Services and supports a team made up of one Account Specialist, and one Part-Time Staff Assistant. This position is to provide accurate reporting of general ledger maintenance for the computerized maintenance management system (CMMS), Task Order and Service Contract procurement, tracking and reporting internal and external Facilities Service Request expenditures, and providing customers supporting documentation for work orders and adjusting entries.

Essential Functions

  • CMMS general ledger maintenance / Accounting \xe2\x80\x93 Reviews account distribution integrity, post work request expenses, post work request adjusting entries, add and maintain accounts numbers in the CMMS data base, instructs users on proper procedures and process improvements. Perform labor and non-labor adjustments within the CMMS system and close work orders at completion. Enter Colleague requisition, process WebNow and CMMS payments.
  • Generates and disseminates reports for customers as backup to Facility Service Request inquires along with supporting documentation. Run CMMS queries to track data for benchmark reporting.
  • Assists in the research and communication of charges within the organizational unit and to other University departments. Perform posting of credit card purchases on appropriate work orders in the CMMS system.
  • Performs miscellaneous organizational tasks, such as maintaining records and files related to customer support, and providing support training for CMMS financial modules to end users.

Salary Range
  • Commensurate with experience.
Required Education and Experience
  • Bachelor\'s degree or equivalent.
  • 1-3 years of relevant experience.
Additional Eligibility Qualifications

Knowledge of accounting principles, practices, procedures, methods, and theory.

Knowledge of laws, rules and policies governing payroll, leave, budgetary, fiscal and accounting books, records, and accounts.

Knowledge of fiscal management/ accounting software applications.

Ability to enter, maintain, analyze and/or audit accounting, budgetary, fiscal, labor/ payroll and leave data.

Skill using email, word processing, spreadsheet/ data analysis and presentation development software applications such as Microsoft Outlook, Word, Excel and PowerPoint while preparing briefings, reports and presentations.
