Under the general direction of the School owner and Financial Aid 3rd Party Servicer, performs tasks in administering Financial Aid and provide administrative, clerical and technical support to the Financial Aid Office.
AREAS OF RESPONSIBILITY:
1. Handle student, parent, and employee inquiries via email, telephone, and in person.
2. Receive/track/route all incoming/ outgoing forms and correspondence thru email, software and notating student electronic and paper file.
3. Enter and maintain data for all student applications and files, which includes downloading forms and importing data into Software.
4. Maintain department appointment calendar for all department members/schedule appointments.
5. Order/maintain office supplies and forms.
6. Assist Students and Parents with FAFSA applications and questions.
7. Arrange Meetings and trainings related to Department functions.
8. Create, prepare, and mail documents, letters, and emails.
9. Coordinates document entry process by dating and entering incoming documents into the software system and notating on student file.
10. Coordinates and maintains department filing system, including scanning incoming documentation for student's files.
11. Coordinates and administers Financial aid Appointments.
12. Coordinates customer service assistance/answering telephones on a daily basis.
13. Maintains confidentiality of student records in compliance with the Family Educational Rights and Privacy Act (FERPA)
14. Other duties as assigned
MINIMUM EDUCATION, KNOWLEDGE, SKILLS, ABILITIES:
Excellent public relations and communication skills; professional, pleasant office manner.
Excellent phone etiquette.
Intermediate skill level/knowledge with Microsoft Office (Word, Excel), e-mail, database management and Internet.

High school diploma/GED with a minimum of one year clerical experience is required.

DUTIES AND RESPONSIBILITIES
:
1. Accepts and reviews incoming student financial aid applications and related documents and prepares the files to process a student's application.
2. Assists students in applying and resolving issues relating to the application process for financial aid and scholarship awards.
3. Enters financial aid tracking data into Boston Educational Software system.
4. Completes requests for student financial aid information from other official agencies including financial aid transcript requests.
5. Process or Clear Title IV verifications
6. Enters student financial information into software for processing or awarding of files as appropriate.
9. Processes and awards financial aid.
10. Downloads and processes corrections to Student Aid Reports.
12. Coordinate with other Financial Aid Personnel to ensure that student applications and corrections are processed promptly and properly.
13. Keys in correspondence, records and requisitions and performs other clerical functions as needed for the campus financial aid office.
14. Keeps current on federal, state, and institution information provided in the Financial Aid Policies and Procedures Manual and other documents.
15. Ensures that all required forms and applications are available to students.
Provide timely and accurate financial aid information to students and their parents. Answer questions and resolve problems for students regarding financial aid and student accounts.
Counsel students and parents with any issues that may arise regarding their financial aid, student loan repayment and/or refunds.
Access the third party Financial Aid system to upload required documentation.
Work closely with the admissions department
Work on special projects for administration as they arise.
Attend meetings with executives and took minutes/notes.
Answer emails and phone calls within a 24 hour turn-around time.
Post Student payments to Software.
Setup student ACH payments.
Clear "C" flags with citizenship documentation, selective service, default resolution
Complete, review and correct all files for verification and conflict resolution to meet federal guidelines
Verify applicant eligibility and processDirect Loan applications
Counsel students on the responsibility, obligations, and consequences of taking out student loans
Assist students with student loans, Entrance counseling, Exit counseling, and Master Promissory Note
Help loan agencies with skip trace and default aversion letters
Guide students with the completion of financial aid paperwork and loan applications
Assess visitors and student questions to decrease the unnecessary disruption to the Directors time
Work on daily and weekly reports such as student absenteeism and SAP
Complete Return of Title IV (R2T4) and emailing R2T4 letters to students
Generate emails to students regarding Satisfactory Academic Progress (SAP), Award letters and other requirements.
