We are seeking a highly organized and proactive File Clerk/Manager to oversee the efficient management of our office files, records, and administrative documentation. This role is vital in maintaining accurate, accessible records while supporting daily office operations. The ideal candidate will be detail-oriented, possess strong organizational skills, and have experience with office management systems. Bilingual abilities and proficiency with various computer applications will be considered a significant advantage. Responsibilities
Maintain and organize physical and electronic filing systems to ensure quick retrieval of documents
Manage incoming and outgoing correspondence, including scanning, sorting, and distributing mail
Support front desk operations by greeting visitors, answering multi-line phone systems, and providing excellent customer service
Handle data entry tasks with accuracy using Microsoft Office, Google Workspace, and other office software
Assist with calendar management, appointment scheduling, and coordinating meetings for staff members
Perform clerical duties such as proofreading documents, managing office supplies, and maintaining office equipment
Support bookkeeping activities using QuickBooks or similar accounting software and assist with basic bookkeeping tasks
Provide customer support via phone or in person, demonstrating professional phone etiquette and organizational skills
Qualifications
Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Experience with multi-line phone systems, front desk duties, and customer service is preferred
Bilingual abilities are highly desirable to support diverse client needs
Knowledge of QuickBooks or bookkeeping experience is a plus
Previous experience as a medical or dental receptionist or personal assistant is advantageous
Strong attention to detail for proofreading and document accuracy
Ability to handle confidential information discreetly while maintaining professionalism
