GENERAL POSITION SUMMARY: The Exhibition Assistant supports Center Art\xe2\x80\x99s organization mission, vision and values by exhibiting the following behaviors: excellence, competence, collaboration, innovation, respect, personalization, commitment to community, leading others, accountability and ownership. The Exhibition Coordinator is responsible for supporting the Exhibition department under the supervision of the Executive Director. This position will support administrative tasks as well as, guest experiences and program activities within the Exhibition Department and on site at the Exhibition. Priorities may include organization support for the department, on site support for guest engagement, and special programs and projects.   • Know Chihuly Garden and Glass Exhibition emergency and fire/life/safety procedures. Reassure the Guests in times of emergency and participate as needed in emergency procedures, know lost and found procedures, and communicate using a radio during shift.
  • Understand and evaluate the Guest journey, providing insight to daily Gallery experiences during periods of peak visitation.

PRIMARY FUNCTIONS:
  • Support the Exhibition Department in scheduling, communication, transcribing, information gathering, reporting, prioritizing, day-to-day operations, and other administrative tasks.
  • Support Exhibition Department in coordinating seasonal projects and programs/events.
  • Coordinate the Community Enrichment Ticket Program
  • Coordinate all Refract programming in cooperation with the Exhibition Department Team
  • Assist with coordination of the Membership Program
  • Maintain departmental calendar that is updated daily
  • Assist with the Center Art Foundation
  • Attend all CGG operational meetings and communicate notes with team
  • Full understanding of the Exhibition Department and its functions
  • Learn the exhibition host roll and fill in as necessary
  • Support HR team activities/ events.
  • Develop and maintain reporting system for all Exhibition Department activity.
  • Arrange departmental meetings, agendas, minutes, and action items
  • Contribute to team effort by accomplishing related results as needed.
  • Routinely re-order department supplies
  • Maintain confidentiality
  • Other duties as assigned
OTHER RESPONSIBILITIES:
  • Develop and maintain working relationships with other team members and departments
  • Provide information about all areas of the Chihuly Garden and Glass Exhibition.
  • Maintain working knowledge of all Chihuly Garden and Glass Exhibition policies and procedures.
  • Know Chihuly Garden and Glass Exhibition emergency and fire/life/safety procedures.
  • Reassure the guests in times of emergency and participate as needed in emergency procedures.
  • Other duties as assigned.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED
  • 3+ years\xe2\x80\x99 administrative experiences, executive assistant experience a plus.
  • Experience in museums, exhibitions, or arts organizations preferred, but not required.
  • Excellent written and verbal skills.
  • Takes initiative and competent follow through on projects
  • Highly organized.
  • Attention to detail and accuracy.
  • Fully versed and proficient with computers and Microsoft software applications, specifically MS Word, Excel, and PowerPoint.
  • Familiarity with using multiple database systems.
  • Extremely flexible and can efficiently multi-task
  • Ability to react quickly and correctly in a fast-paced environment.
  • Must be able to work independently.
  • Proven great guest service skills.
  • Experience with expense management
  • Ability to effectively communicate using the English language.
  • Knowledge of Seattle and surrounding area preferred.
  • Comfortable working with a diverse population and varied points of views.
  • College degree preferred.
  • Must be able to lift 10 pounds.
Full Time, Hourly Position Hourly Rate: $25.00 - $28.00 / hour DOE Benefits include:
