In-Person (Kensington Store Home Base + Regional Travel Throughout Philadelphia & Surrounding Counties)

Position Overview:



We are seeking a highly organized, people-driven, and proactive

Executive Operations Coordinator

to support the CEO and ensure seamless operations across the organization. This position is fully in-person and requires regular on-site presence at multiple FarmerJawn locations, with the Kensington site serving as the home base.

The Executive Operations Coordinator plays a vital role in ensuring operational alignment, supporting communication across teams, managing the CEO's schedule and priorities, and maintaining a rhythm of coordination for the Executive Team and Core Team. This role is ideal for someone who understands people and systems, anticipates needs, and thrives in a dynamic, fast-moving environment.

Key Responsibilities:CEO Support:



Attend

6:00 AM meetings

with the CEO

Tuesday-Friday

. Manage and prioritize all CEO communications including email, calendar, scheduling, and follow-up tasks. Coordinate CEO travel logistics (local and out-of-state) and accompany the CEO when required. Handle confidential administrative tasks and support personal/professional priorities as needed.

Team Liaison:



Serve as a communication bridge between the CEO and the full organization. Ensure timely flow of updates, expectations, and action items across teams. Support team morale and connectivity by identifying team needs and gaps proactively.

Operational Coordination:



Coordinate weekly meetings for the

Executive Team

and

Core Team

, including agendas, notes, and action tracking. Oversee day-to-day rhythm of operations to ensure efficient execution and follow-through. Manage task tracking and accountability systems to keep projects on schedule. Identify operational bottlenecks and implement solutions to improve workflow.

Communication & Documentation:



Draft and edit correspondence, communications, and documents on behalf of the CEO. Maintain organized records, meeting notes, project documents, and internal communications. Represent the CEO in interactions with internal and external stakeholders as needed.

Qualifications:



Proven experience in executive support, operations, office management, or team coordination. Exceptional organizational skills and the ability to manage multiple priorities simultaneously. Strong writing and communication abilities.

Early riser

comfortable with 6 AM meeting schedules. Valid driver's license and ability to travel regionally and to nearby states when needed throughout the week. Ability to work independently while maintaining alignment with leadership. Proficiency with digital tools including email, calendar software, and project management systems. Flexible availability for events, travel, and schedule adjustments.
