Job Description

Kent Youth and Family Services (KYFS) is a non-profit Agency founded in 1970 serving low income and under-resourced children and families to high quality mental health and substance use disorder services, early childhood education, and after school programs.





This Operations Coordinator is responsible for ensuring the smooth and efficient daily business operations and systems that support all the agency departments: providing administrative and technical support, coordinating projects and provides support to a variety of different departments and programs: Accounting, Fund Development, HR, IT, Behavioral Health, After School, Early Learning, and Executive.




An ideal candidate for this position will have strong skills, knowledge and hands on working experience of various technology platforms and equipment, troubleshooting, assisting end users, set up of equipment, managing e-mails, training as needed, etc.






COMPENSATION & BENEFITS:



JOB TYPE/SCHEDULE:

Full time, Monday to Friday. Position works on site at main office in downtown Kent.

STARTING PAY:

$24-$26 per hour/DOE (Per WA State pay transparency law, the pay range for this position is $24-$36 per hour dependent upon performance and years of service)

BENEFITS

: Full Time staff are eligible for: 11 paid holidays; up to 3 weeks of vacation 1st year of employment; and accrue up to 12 paid sick days per year. Company paid 403b retirement: current contribution is at 5% after one year of employment; paid medical, dental, vision, life and LTD insurance for employee with coverage beginning the 1st of the month following 30 days of continuous employment. DUTIES AND RESPONSIBILITIES:




Provides front desk and reception coverage duties for behavioral health department. Assist with monitoring and managing the front door, ensuring secure and appropriate access to the building. Handles incoming mail distribution and outgoing mail preparation. Performs clerical and administrative duties. Responsible for ordering office supplies and maintaining regularly used items are in stock. Keeps supply closets and areas organized. Coordination and management of general building maintenance, weekly janitorial service, general upkeep and cleanliness of common areas and restrooms, and office equipment. Create and maintain individual staff email accounts and email distribution groups. Maintain subscription services; such as Zoom, DUO, and Proofpoint Support IT security software: antivirus, malware, barracuda, and electronic door system. Works with IT service provider regarding laptops, e-mails, keeping agency servers up to date, and misc. other technical and IT issues as needed Oversee inventory of hardware and software assets and ensure proper maintenance and replacement. Provides IT and technical support to staff and interns, including troubleshooting. Distributes laptops and ensures devices are signed out, documented and properly set up. And reviews agency laptop and portable device procedures and form. Handles On-boarding and Off-Boarding of staff and interns: i.e.: e-mail, key cards, and other agency property. Manages electronic key cards, keys and phone system and users for the main office. Assists human resources with general HR tasks, agency requirements, and general onboarding. Assists fund development and marketing with such things as annual event planning, community events, mailings, special projects, data entry, event day of set up and check in and post Job openings and announcements on the agency website as directed. Assist accounting and finance department with general tasks and special projects. Assist with planning Board of Directors' annual Retreat and Holiday Party. Provide requested reports for monthly, quarterly and annual Contract billing. Copy and log incoming Cash Receipt checks, including monetary contributions and donations. Help maintain Conference Room calendar, setting up room as needed. Special projects and other duties as assigned.

QUALIFICATIONS/REQUIREMENTS:




Two or more years of progressively responsible administration and information technology support duties or related experience. Minimum of a High School Diploma or GED. Experienced receptionist, to answer both external and internal phone calls. Proficiency in MS Office and all Office Suite products including: Excel and Word, and Adobe Acrobat software a plus. Technical proficiency: knowledge of operating systems, hardware, common software for troubleshooting and maintaining IT infrastructure. Ability to diagnose and resolve technical issues promptly to minimize operational disruptions. Professional and support-service oriented with the ability to effectively interface with employees, all levels of management, agency clients and the general public. Strong communication skills: verbal and written. Able to function independently with minimal supervision and work well as part of a team. Reliable and able to prioritize, coordinate several projects and work under pressure. Strong time management skills with the ability to multi-task. Understand, respect and maintain strict confidentiality - HIPAA compliance required. Experience working with and appreciation for diverse populations. Acceptance of a variety of lifestyles, behaviors, and cultural and spiritual practices. Flexible schedule to support all departments as needed. Satisfactory completion of any required fingerprinting and criminal background checks. Valid Washington driver's license, acceptable driving record, personal automobile for use of job-related transportation, current auto insurance meeting minimum Washington vehicle insurance requirements.



OTHER DESIRED SKILLS/EXPERIENCE:




Bi-lingual: English and Spanish - helpful but not required. SharePoint experience: creation, set up, upkeep, training, maintenance



PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:




Work is performed in an office environment with extensive periods of time sitting. The ability to sit and to use a computer for significant periods of time. Ability to hear at normal speaking levels both in person and over the telephone. Be able to handle interruptions based on agency operation needs requiring movement to/from the office multiple times throughout the day. Requires manual dexterity to operate a variety of office equipment, including but not limited to phones, computers, fax, copier, printer, and computers. Generally good working conditions with little or no exposure to extremes in noises, temperature. * Ability to lift or move up to 50 pounds on occasion or with assistance.
