About the Role



We're an alternative business lender helping small and mid-sized businesses access the capital they need to grow.

We're hiring a full-time

Executive Coordinator

to work directly with our Head of Finance & Operations.

This is a

demanding, execution-focused role

. Your primary job is to keep things organized, moving, and finished. You will take ideas and conversations and turn them into clear tasks, track what needs to happen next, and follow up until the work is actually done, not "started," not "in progress," but done.

You will also handle time-sensitive finance and operations work, including

wires, basic QuickBooks entries, and running CRM reports on a set schedule

.

If you are not naturally organized, persistent, and comfortable holding people (including your boss) accountable, this role will be frustrating. If you live in checklists and get bothered by loose ends, you'll do well here.

What You'll Do:



1. Be the "Keeper of the List"



Maintain a clear, constantly updated list of all open tasks, projects, and follow-ups. Track who is responsible for what, and by when. Follow up with the Head of Finance & Ops and external parties until items are completed, notjust "touched."

2. Daily Planning & Accountability



Join a short check-in each morning (often during the commute) to organize the day. Translate that conversation into a structured plan: calendar blocks, task list, and priorities. Proactively remind and nudge throughout the day when something important is at risk of slipping.

3. Calendar & Time Management



Manage a busy calendar using Google Calendar. Protect time for deep work, not just meetings. Sequence the day logically so high-value work gets done first.

4. Inbox & Communication Support



Help organize and triage email: flag urgent items, track key threads, and identify where follow-up is needed. Draft simple email replies and updates for review and, over time, reply directly on routine items once you're up to speed.

5. Finance & Ops Support



Use QuickBooks Online for basic bookkeeping tasks (e.g., categorizing expenses, entering transactions, pulling basic reports). Log into bank portals to help prepare and track wire transfers following defined procedures (with oversight). Run CRM reporting on a set schedule (daily/weekly/monthly as directed), export and organize reports, and distribute them to the appropriate people. Keep key spreadsheets and CRM records accurate and up to date so information is reliable.

6. Light Personal & Logistics Support



Occasionally handle personal logistics such as booking appointments or simple travel arrangements when it supports overall productivity.

7. End-of-Day Summary



Send a short end-of-day summary outlining: What was completed What is still open What needs attention tomorrow
You're a Good Fit If...

You have

2+ years of experience

in an administrative, operations, executive assistant, or similar support role. You are

persistent

and comfortable following up more than once when something is important. You are

detail-obsessed

and genuinely dislike leaving things half-finished. You move

fast

but do not get sloppy. You are

calm under pressure

and professional with people. You are comfortable with

numbers, spreadsheets, bank portals, and financial tools

(QuickBooks Online experience is a strong plus). You can follow

recurring schedules

for tasks like CRM reporting and treat deadlines seriously. You're willing to handle both simple tasks and more complex ones as trust grows. You are comfortable in a

start-up-style environment

where things move quickly and priorities can change.
This is

not

a fit if you need constant direction, struggle to stay organized, or are uncomfortable reminding busy people to do what they said they would do.

Compensation & Schedule

Salary:

$40,000 - $45,000, depending on experience

Hours:

10:00 AM - 6:00 PM, Monday-Friday
