The

Executive Concierge at Orenda

is responsible for overseeing the Guest Services team and ensuring the consistent delivery of safe, supportive, and high-end care to clients throughout their stay. This leadership role blends staff supervision, client-facing support, operational management, and interdepartmental coordination to maintain Orenda's concierge-level standard of excellence.

Supervise and support Lead Guest Services Associates and Guest Services Associates, ensuring client safety, professionalism, and quality care at all times. Manage team schedules, maintain appropriate staffing ratios, and ensure coverage for all shifts. Train new and existing staff on procedures, including intake, client engagement, safety protocols, and software systems. Lead monthly Guest Services team meetings and offer ongoing coaching and professional development. Oversee the completion and compliance of client intake and discharge processes, including room assignments and readiness. Instruct new admissions on Orenda's rules, review the Client Handbook, and confirm handbook reaffirmations are completed to Futures' standards. Maintain and regularly update Client Handbooks and program materials to reflect current offerings and expectations. Provide direct support to clients within the therapeutic milieu, monitoring behaviors, addressing concerns, and assisting with de-escalations when necessary. Facilitate the weekly community meeting, gathering client feedback and reinforcing a culture of openness and quality improvement. Establish and manage standards for client suite readiness, welcome packages, and personalized touches that reflect Orenda's high-end expectations. Ensure that living accommodations meet or exceed program standards and individual client needs. Maintain consistent communication with clinical staff regarding client experiences and updates. Work collaboratively with staff across all departments in a dynamic, fast-paced environment. Assist scheduler with maintaining accurate client schedules as needed. Review daily schedules to ensure all activities are properly coordinated. Collaborate with the Scheduler to arrange weekend offsite activities such as wellness events and recreational outings. Arrange and coordinate client transportation and accompany clients as needed to off-site appointments and activities, utilizing company vehicles when appropriate. Assist with facility tours and help welcome prospective clients and families when needed. Handle all vendor relations, including service coordination, communication, and quality oversight. Conduct regular inventory and order essential program supplies, ensuring availability and cost-effective procurement. Ensure timely submission of receipts by Guest Services staff and reconcile all expenses in Coupa. Upload assessments, testing reports, and other clinical documentation to the medical record system. Assist nursing and medical teams with appointment scheduling, uploading documentation, and managing key client logistics. Manage access to and provide training for technology platforms and essential software used by the Guest Services team. Follow infection control protocols and report symptoms of illness to the Infection Control Nurse. Complete and submit incident reports and safety-related concerns promptly to the Director of Nursing and Executive Director . Communicate effectively with clients, families, and staff across departments and maintain strong relationships with clinical, medical, and leadership teams. Notify the Director of Nursing or Clinical Director of any employee concerns or staffing issues requiring leadership attention.

This position requires strong leadership, attention to detail, excellent communication skills, and the ability to multitask in a fast-paced, client-centered environment. Experience in behavioral healthcare, high-end hospitality, or healthcare operations is preferred. The Executive Concierge is a key presence on the floor, ensuring clients are safe, feel supported and cared for every step of the way.
