Job Description


We are looking for an Executive Assistant to provide administrative support for our Santa Clara facility and management team. To be successful in this role, you should be well organized and have excellent time management skills. Requires thorough knowledge of company operations, policies, and procedures. Handles details of a highly confidential and critical nature. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.

In this role, you will exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. This position requires a high-level of professional and experience working with senior-level executives within and outside the company, customers, vendors, visitors, and other dignitaries. This role will act as an advocate to promote a positive and welcoming environment for our customers, employees, and guests.

Essential Duties and Responsibilities

  • Requires thorough knowledge of company operations, policies, and procedures.
  • Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
  • Prepare presentation materials internal and client meetings.
  • Create and distribute internal communications regarding status changes, benefits or company polices.
  • Make high-level contacts of a sensitive nature inside and outside the company.
  • Maintain and handle confidential/sensitive information and treat with discretion (need to know basis) and professionalism.
  • Arrange travel plans for employees, including flights, hotels, and rental cars.
  • Schedule meetings and creates agendas, minutes, reports, dashboards, metrics, and correspondence (Word, Excel, PowerPoint)
  • Maintain company documents to include filing and calendar scheduling
  • Assist in the preparation and execution of events such as conferences, seminars, and corporate retreats.
  • Handle other general administrative tasks, such as catering, conference room scheduling and assigns approval # to Travel Authorization requests
  • Collect data from files or staff for routine inquiries, office program(s), or periodic reports
  • Welcome customers, clients, newly hired employees, and guests; registering all visitors in Envoy, our visitor management tool
  • Promote People Operations\xe2\x80\x99 programs to create an efficient and conflict-free workplace
  • Assist with new hire orientation and onboarding, as needed
  • Supports and promotes all site initiatives and activities
  • Maintain inventory of office supplies and refreshments, inclusive of holiday and seasonal decor.
  • Other duties may be assigned.
Supervisory Responsibilities: No

Compensation: $85,000-95,000

Qualifications

  • Excellent knowledge of MS Office (Word, Excel, Power Point)
  • Excellent written and verbal communication skills
  • Excellent organizational and interpersonal skills
  • Ability to successfully multi-task, prioritize, and follow-up with various levels of personnel
  • Must be very efficient, discrete, and highly organized.
  • In-depth knowledge of company operations and excellent communications skills
Education and/or Experience

Associate of Art\xe2\x80\x99s degree or equivalent required (10+ years of relevant experience) or Bachelor\xe2\x80\x99s degree in Business Administration and 8+ years of job related experience supporting a high level manager or executive.

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills

To perform this job successfully, an individual should have extensive knowledge of Internet software, email and the Microsoft Office Suite.
