Directly next door to The Ivy, is Varley a cocktail bar where guests can enjoy an innovative approach to high-end cocktail culture without all the pretense. We are seeking an assistant to support our team and to become an integral part of our fast-paced, hospitality and entertainment family. We are looking for someone that has a passion and knowledge about the creative and business sides of the music industry. A team player that has a positive attitude is highly motivated that is able to easily build relationships across multiple functions and business units. The position requires a physical presence in our office in Salt Lake City. It is NOT a work from home position. We are looking for someone to start as soon as possible. Specific tasks:
  • Coordinate and schedule meetings
  • Manage a high volume of incoming and outgoing calls
  • Manage and organize a high volume of emails for each of our business
  • Calendar management across multiple time zones
  • Draft business correspondence (emails, documentation, offer letters)
  • Participate in and report on projects
  • Facilitate two-way communications throughout the organization
  • Maintain up-to-date awareness of the CEO\xe2\x80\x99s obligations to proactively assist and/or anticipate needs
  • Foresee and/or manage risk, conflicts, and problem areas
  • Able to work in a high pressure, detail -oriented function that changes daily
  • Able to handle multiple responsibilities at a time, and use discretion when necessary
  • Protect and enhance the CEO\xe2\x80\x99s image both internally and externally
  • Liaise between the internal team and outside parties to schedule meetings
  • Arrange extensive travel plans for the executive and obtain approvals in a timely fashion
  • Manage incoming mail and complete correspondence
  • Create and maintain effective filing system, both electronic and in hard copy files including a database of all contacts

Required Skills:
  • Proficiency with Microsoft Office programs; Excel & Word
  • Photoshop, Adobe InDesign and Sketch Up would be a plus but not require
  • Strong organization and attention to detail is crucial
  • Strong relationship building skills
  • Works well independently as well as in a collaborative environment
  • Strong communication skills \xe2\x80\x93 written, verbal and presentation
  • Solutions oriented approach
  • Capability to effectively plan and prioritize
  • Ability to manage several projects simultaneously while working under pressure to meet critical deadlines
  • Proactive with excellent follow-up skills and completes tasks with a sense of urgency
  • Some travel
  • Clear and concise oral and written communication skills
