Shriners Children\'s Hawaii is currently seeking an organized, driven, and highly professional Executive Assistant to support our senior leadership and board. This individual must have excellent written and verbal communication skills and the ability to multi-task and prioritize urgent needs. Responsibilities:

The Executive Assistant provides a variety of administrative support tasks and project coordination for the Administrator and the Chairman of the Board of Governors and acts as the resource person for Administration. This person is responsible for overseeing and preparing meeting agendas, notices, minutes and presentation materials. This person is also responsible for being the lead administrative support for the Senior Leadership Team. Coordinates the appointments for the Administrator, including but not limited to public presentations, leadership activities, management meetings, conferences, and travel arrangements. Assists in budget preparation for Administration and ensure that expenses are kept within department budget. Maintains and assists in establishing hospital agreements, contracts and all assigned hospital wide policies and procedures.


Coordinates all administrative activities for Administrator and Board of Governors:

  • Ensure messages are delegated in a timely manner. Use proper etiquette
  • Independently organizes meetings, appointments and events as needed
  • Retrieve, circulate and respond to emails
  • Maintain up-to-date away schedules and communicate accurately and effectively to various departments
  • Maintain travel expenses reimbursement for physicians and other providers
  • Type correspondence, transcribe dictation and meet deadlines
  • Coordinate tutorials and scientific meetings, as well as, legal inquires/meetings
  • Maintain and submit reports to home office as assigned
Qualifications:
  • Bachelor\'s degree in Business Administration or Health Sciences preferred
  • Minimum five (5) years related executive-level office experience and/or training or equivalent combination of education and experience.
  • Ability to anticipate tasks and prioritize assignments.
  • Excellent knowledge of English grammar, punctuation and letter composition.
  • Knowledge of hospital and departmental procedures and operations desirable.
