Position Overview

The Executive Assistant will provide high-level administrative support to the President and CEO. Reporting directly to the President, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and oversees special projects. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The Executive Assistant should have the ability to exercise good judgement in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Primary Job duties and responsibilities * Executive Assistance

  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the operations of the company.
  • Sustain a daily calendar of meetings and events.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Arrange travel accommodations for executives. Prepare expense reports.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive team is involved with.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.
  • Represent the company and executive team in a positive light through great follow-through skills and sound judgement.
  • Conserve the President\'s and CEO\'s time by reading, researching, collecting and analyzing information as needed, in advance.
  • Organize complex calendars and schedules, resolving any scheduling issues.
  • Coordinate meeting invitations, logistics, zoom room set up, and materials for various meetings including board meetings, including food catering.
  • Provide additional general support to CEO such as coordinating donor gifts, mail merging emails, and letters.
  • Complete ad hoc projects as assigned relating to business, personal events and/or family needs.
2. Office Management
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Welcoming office guests by greeting them, in person or on the phone; answering or directing questions.
  • Assist with onboarding new employees with building-related matters (key cards, parking passes, etc.).
  • Order supplies and snacks.
  • Monitoring of general office email and phone line; rerouting communications to the appropriate parties.
  • Manage the offsite storage.
  • Assisting with company-wide communications and emails.
  • Phone set up (extensions and phone directory).
  • Open and distribute mail.
  • Primary contact for building management, cleaning service, and other office related vendors and service partners.
  • General upkeep of office appearance, cleanliness, and holiday d\xc3\xa9cor.
  • Other duties as assigned.

Minimum Requirements
  • Bachelor\'s Degree or equivalent work experience
  • 5+ years of related experience in an executive assistant role supporting VP/C-Suite Executives
  • Advanced proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint)
  • Flexible hours as dictated by the needs of business for projects and meetings.

  • Ability to travel out of state (>10%)
Location and Reporting
  • Position will be based in ACE Scholarships\' Denver Office (Greenwood Village, CO/Denver Tech Center)
  • Primarily in office work environment. Occasional work from home opportunities available after training period.

Exempt, Full Time

Compensation

Competitive annual salary of $55,500 - $75,000 (DOE) and benefit package, including medical, dental, vision, STD, LTD, 401(k) with corporate match; plus other benefits.
