Executive Assistant to the President, Southwest & Rocky Mountain Regions, Northern Trust We are looking for an Executive Assistant to partner with the President of the Southwest & Rocky Mountain Regions in supporting a growing and vibrant wealth management business. You will work alongside the President providing daily support and advice in a fast moving and energetic business. Responsibilities include collaboration with marketing to ensure our collateral material for both internal and external meetings is informative, concise, and exciting. You will provide advice around calendar scheduling, and the most efficient use of time. In addition, interface with clients, board members, key executives, and all levels of employees providing the best experience and appropriate discretion while doing so, based in the Denver, Colorado office.
The key responsibilities of the role include:
  • Partnership to deliver the highest quality interactions through events and meetings. This includes board meetings, leadership offsites, planning sessions, visits from executives, and client gatherings.
  • Assist marketing in creating both internal and external material.
  • Meeting planning and travel arrangements and overall optimization of the President\xe2\x80\x99s day, this includes management of a fluid and dynamic calendar and prioritizing meetings and travel as well as proactive advance scheduling of key meetings.
  • Expense report management.
  • Serve as the face and voice of the President\xe2\x80\x99s office.
  • Act as a strategic partner, helping advise and prioritize competing tasks and high-priority items.
  • Write a wide variety of communications and materials, such as correspondence, companywide memos, and PowerPoint presentations.
  • Assist in maintaining strong relationships with key stakeholders by maximizing travel, meetings, and calendaring.
  • Lead and manage special projects.
  • Identify inefficiencies to existing process and propose suggestions for improvements across Operations and the broader organization.
  • Navigate the organizational infrastructure to resolve problems.
  • Help manage content and execution for meetings and offsites.
  • Manage a heavy and complex calendar, prioritizing meetings and travel that align with business priorities, and stakeholder and client needs. Lead forward planning and meeting/travel strategy for the year. Coordinate meetings and maintain calendars (i.e., prioritizing meetings, providing ample time to review meeting materials, and booking travel).
  • Handle incoming phone calls, internal and external, as well as incoming and outgoing mail.
  • Process and review expense reports.
  • Maintain a flexible work schedule.

Qualifications The successful candidate will benefit from having:
  • At least 5 years of experience acting as a strategic partner to executive-level leaders
  • The ability to work in-person in our Denver office 4-5 days a week
  • The ability to work in a professional environment and handle sensitive and confidential information, demonstrate an elevated level of professionalism and maintain confidentiality
  • Excellent written and verbal communication skills, and a track record of providing exceptional customer service
  • The ability to multitask, manage time wisely, and manage competing priorities.
  • Ability to build relationships that will enable the ability to connect partners and accomplish objectives.
  • Outstanding attention to detail and organizational skills is critical
  • The ability to learn quickly and demonstrate strong problem-solving skills
  • The ability to thrive in a fast-paced, ever-changing environment with stringent timelines and deadlines and handle the stress of meeting stringent timelines and deadlines
  • A positive, team-player attitude
  • Advanced technical skills, including Microsoft Office skills, such as Outlook, Teams, PowerPoint, and Excel
  • A bachelor\xe2\x80\x99s degree is valued
Salary range: $99,000 to $110,000. Salary range is an estimate of base pay.
