St. Louis, Missouri - hybrid work environment

Compensation: $60,000 - $65,000+ and benefits

We are searching for a person with Executive Assistant experience supporting C-Level Managers. This is a direct hire and a hybrid work opportunity. Our client is an international nonprofit organization and is headquartered in St. Louis, MO. Their objective is to advance the delivery of high-quality services for families through a comprehensive system of support and innovative solutions.

Position Summary

The Executive Assistant is responsible for administrative support to the President and Chief Executive Officer (CEO), Board, and other Senior Leaders, as needed. This includes:

  • Responsible for assisting the President and CEO with correspondence, scheduling, travel arrangements, maintenance of files, etc.
  • Support of other Senior Leadership and Board of Directors, as needed. Attending Senior Leadership meetings, notetaking, and communications to the team.
  • Maintain Board and Board Committee Lists, files, and other documents.
  • Attend Board and committee meetings, prepare and distribute minutes, as appropriate for Board meetings and Board Committees.
  • Arrange Board of Directors meetings with hotel and travel for Board members. Liaison between Board members and Senior Team for meeting scheduling. Yearly conference coordination with Board members.
  • Assists with front desk by greeting guests, primary phone, and email, as needed.
  • Travel and support logistical coordination of Board meetings at National Conference, Washington DC, and Board Annual Meeting in St. Louis.
  • Other duties as assigned.
Education & Experience
  • Bachelor\xe2\x80\x99s degree required.
  • Master\xe2\x80\x99s degree in business or related field preferred.
  • 5 years or more of administrative assistant experience.
  • 3 years of direct executive-level experience supporting and engaging CEO\xe2\x80\x99s, board directors, and executive leadership.
  • Non-profit experience preferred.
  • Proficiency of computers and typing.
  • Proficiency with Microsoft programs.
  • Computer Skills: To perform this job successfully, an individual should have: the ability to operate a computer, input and access data from data management systems, and ability to operate within Microsoft Outlook, Word, Excel, Teams and Office 365 and Zoom.
  • Language Skills: Ability to read, analyze and interpret general business periodicals, professional journals, and technical procedures and government regulations. Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public and board directors.
  • Mathematical Skills: Ability to work with mathematical concepts such as fractions, percentages, ratios, and proportions in practical solutions.
  • Ability to accurately type 55-60 words per minute (wpm).
  • Ability to maintain discretion regarding confidential information and a clear understanding of the department\xe2\x80\x99s priorities for access and communication.
  • Ability to function independently where appropriate but to recognize when issues escalate and need to be referred to other resources.
  • Ability to assess a situation and determine the best course of action (independent judgment).
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to support the monitoring and management of CEO digital correspondence.
Travel and Physical Demands
  • Light effort (stooping/bending)
  • Moderate travel requirements \xe2\x80\x93 Less than 50% of the time. (This position requires travel to Board meetings with leadership team 3 times a year.)
