SUMMARY
Performs various secretarial and administrative services for the Chief Executive Officer, President, Senior Management and Board of Directors. Serves as corresponding secretary performing official duties as required. Attends the monthly Board of Directors Meeting and records all board proceedings. All other duties and responsibilities as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following:
  • Manages the office area of the CEO and President, serving as an administrator, secretary, and receptionist.
  • Composes and directs written communication to various people both within and outside of the bank.
  • Processes letters, reports and other financial information of a highly confidential nature.
  • Responsible for the flow of paperwork and data within the department which includes filing, handling and dispersing incoming and outgoing mail, updating records, expense reports and compiling reports as requested.
  • Will take and transcribe minutes at Board of Directors meetings and all official meetings as needed. Will act as the official custodian of minutes and all proxies.
  • Will arrange appointments and meetings for the CEO and President as requested.
  • Will maintain work calendars for the CEO and President as requested.
  • Screens telephone calls and visitors for the area, resolving issues when appropriate and referring others to the CEO/President when necessary.
  • Special projects and reports for the CEO, President and other members of the Executive Team.
  • Shareholder relations/correspondence as required.

QUALIFICATIONS

  • Ability to proofread and make grammar and spelling corrections on correspondence and reports.
  • Ability to type 40 to 50 wpm.
  • Must be able to drat business correspondence.
  • Above-average written and verbal communication skills.
  • Possess working knowledge of various PC applications.
  • Have an attention to detail and the ability to anticipate and resolve routine problems for the department.
  • Previous experience handling and processing financial and legal documents.
  • Must be able to handle extremely confidential information in a professional manner.

EDUCATION and/or EXPERIENCE One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and interpret documents such as policy and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as interest, commissions, proportions, and percentages.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
OTHER SKILLS AND ABILITIES
This position requires an individual that possesses a high degree of professionalism and tact. This position will deal continuously with a wide variety of people both within and outside of the organization. All of these encounters require a friendly and helpful attitude.

This position will work in a high-paced environment where poise, helpfulness, and confidentiality are required. The position will be required to work independently with minimal supervision once trained.
