POSITION SUMMARY
The Executive Administrative Assistant is responsible for providing administrative services and support to the President, US Addiction Sciences, the Addiction Sciences team, and supporting the broader team and executives as needed. This individual will be responsible for administrative functions, including scheduling and calendar management, project support, travel and meeting arrangements, and budget tracking and contracting. S/he will work to ensure the effectiveness of the President, US Addiction Sciences and his team and function, and ensure excellent interactions with other departments and leaders throughout the company.

ESSENTIAL FUNCTIONS
The responsibilities of this job include, but are not limited to, the following:

  • Calendar management, meeting planning and meeting management and support (travel arrangements, booking of rooms, meeting venue, meals, IT set up, etc).
  • Travel & expense management for President, US Addiction Sciences and leadership team.
  • Budget tracking and management, invoice processing and contract management, including administration of contract management system (iCertis); research billing and expense discrepancies.
  • Support and management of invoicing for third party vendors (SAP), including engaging with vendors as needed to ensure timely and accurate invoicing.
  • Financial management and support including tracking of spend by SOW and PO and to provide information to Finance as needed for forecast and accruals.
  • Contribute to smooth functioning of the US Addiction Sciences suite by helping manage office equipment, including preventive maintenance requirements; following manufacturer\'s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and processes.
  • Contribute to the team by supporting and partnering with other administrative assistants and executives as needed.
  • Other duties as assigned.


TRAVEL: Minimal

MINIMUM QUALIFICATIONS
Education: Bachelor\xe2\x80\x99s Degree or equivalent combination of education and
2-5 years of experience in professional administrative role.
Computer Skills: MS Office suite, Service Now, email, Sharepoint
SAP, iCertis and Visio preferred
