Job Description

Job Summary:

The Event Coordinator for the Amana Colonies Festivals, Inc. (ACFI) is responsible for planning, coordinating, and executing events that promote tourism and community engagement in the Amana Colonies. The position works closely with the ACCVB Director and other stakeholders to ensure events align with the organization's mission of promoting the Amana Colonies as a premier tourism destination. The role requires strong organizational, communication, and leadership skills.

Key Responsibilities:

1. Event Planning & Execution:

Plan, organize, and manage ACCVB-sponsored events, including festivals, tourism-related activities, and community engagement programs. Responsible for being on-site during events and overseeing setup and cleanup, which may include physical tasks such as lifting up to 40 pounds and standing for extended periods. Develop event timelines, budgets, and resource allocations. Coordinate logistics such as venue selection, vendor management, permits, entertainment, and catering. Ensure compliance with local regulations and safety standards during events.
2. Collaboration & Coordination:

Work closely with the ACCVB Director to develop event concepts and ensure alignment with ACCVB's strategic goals. Collaborate with local businesses, community organizations, and volunteers to enhance event offerings. Build relationships with local and regional vendors, sponsors, and partners to secure event support and resources.
3. Marketing & Promotion:

Assist in developing promotional strategies and event materials in collaboration with the ACCVB director. Coordinate and implement social media, website updates, and other digital marketing efforts to increase event visibility under the ACCVB Director's social media calendar. Represent events through various media outlets, including radio, TV, print, and online.
4. Volunteer Management:

Recruit, train, and manage volunteers for events, ensuring they have the necessary resources and support to carry out their tasks. Assign volunteer duties and maintain volunteer schedules.
5. Event Budgeting & Reporting:

Prepare and monitor event budgets, ensuring cost-effective practices while maintaining high-quality event experiences. Track event expenses and provide post-event financial reports to the ACCVB Director. Conduct post-event evaluations and provide recommendations for future improvements.
6. Administrative Support:

Maintain event-related documentation, contracts, and records. Support the ACCVB Director with administrative tasks, including preparing reports, general accounting, and presentations for the ACCVB board of festivals and events. Respond to public inquiries about events and provide excellent customer service.
Preferred Qualifications:

A bachelor's degree in event management, hospitality, tourism, marketing, or a related field is preferred. Proven experience in event planning and coordination (2-3 years minimum). Strong project management skills, with the ability to manage multiple events simultaneously. Excellent communication, negotiation, and interpersonal skills. Ability to work independently toward achieving goals. Familiarity with budget management and vendor coordination. Proficiency in Microsoft Office Suite, social media platforms, and event management software. Basic graphic design skill; experience using Canva, Adobe Creative Suite, or similar tools. Ability to work flexible hours, including evenings and weekends, as required by event schedules.
Working Conditions:

This is an on-site position based in our Amana, IA office, with a standard expectation of 40 hours per week. Full-time position from 9:00 am - 5:00 pm Monday through Friday, with occasional weekend and evening work required for events.
Job Type: Full-time

Pay: $38,000.00 - $42,000.00 per year
