JOB TITLE: Event and Communications Specialist

FLSA STATUS: Non-Exempt

SCHEDULE: Full-time; M-F 8:30 - 5:00

LOCATION: Kansas City, MO office (hybrid work environment)
POSITION SUMMARY
The Event and Communications Specialist is a non-exempt, full-time position based in our Kansas City, MO office. This position is responsible for supporting the Events team, the Marketing and Business Development team, and attorneys firm-wide with the planning, execution, and measurement of client-facing events, including: development of event concepts; coordination and review of event materials; development and distribution of invitations; and on-site support during events. The successful candidate will possess strong organizational and project management skills, be a creative and proactive problem solver, and enjoy an entrepreneurial and collaborative environment.

PRINCIPAL RESPONSIBILITIES

  • Act as events liaison to offices across the firm\xe2\x80\x99s footprint, partnering with 6-8 office managing partners to plan, budget and manage office marketing events, memberships and sponsorships; partner with Marketing Events team to execute those plans.
  • Work alongside the Events team to manage the evolving event calendar and distribution of certain events firm-wide.
  • Partner with Client Development Managers and events-office liaisons to coordinate webinar programs firm-wide, including running virtual event technology, platform selection, speaker coordination, and participant management.
  • Partner with Client Development Managers and events-office liaisons to coordinate small, non-sponsorship, ticketed client events, such as sport suites, including catering selection, events supplies, ticket distribution and swag items.
  • Develop promotional materials such as invitations, flyers, and email campaigns to promote events to clients and prospects.
  • Manage event registration and attendee tracking, including managing online registration and managing attendee lists.
  • Attend and participate in events to ensure everything runs smoothly and to engage with attendees
  • Execute the event budget, including negotiating contracts, tracking expenses, and reconciling invoices, working with events-office liaison to stay on target
  • Develop post-event reports that analyze attendance, share client feedback, and highlight return on investment to determine the effectiveness of the program.


QUALIFICATIONS / SKILLS
  • Approximately two years of experience in an event planning, marketing, public relations or business development position.
  • Experience within a professional services firm is a plus.
  • Stellar project management and organizational skills, and the ability to juggle multiple tasks simultaneously.
  • Excellent communication skills, including strong writing, public speaking and interpersonal skills.
  • Strong negotiation skills to secure the best deals and stay within the event budget.
  • Ability to read and understand Banquet Event Orders (BEOs) to ensure all details are accurate.
  • Ability to manage catering, equipment rental, and venue selection for events.
  • Strong project management skills with experience in managing multiple events simultaneously.
  • A relationship builder who is attentive to the smallest of details, consistent in execution, and able to problem solve in the moment.
  • Good computer skills and proficiency in using event management software, CRMs and eCommunication platforms.
  • Experience with virtual event technology and platform management.
  • Creative thinking and problem-solving skills.
  • Ability to work independently as well as part of a team.
  • Analytical skills to evaluate the success of events and marketing strategies.
  • Ability to work well under pressure and meet deadlines.
  • This position requires 10-15% travel to other Spencer Fane offices


PHYSICAL REQUIREMENTS
  • Position is generally sedentary in nature; involves sitting most of the time, but may involve walking or standing for brief periods of time.
  • Ability to occasionally or routinely lift up 10 - 20 lbs. required.
  • Ability to efficiently communicate
  • Ability to perform repetitive motions required
  • Ability to see and read PC screens, detect color coding, read fine print, and/or normal type size print
